Confirming a worker start

For hirers and agencies: how assignment confirmation works, including who can confirm, start date, competencies, required documents, WRA allowances, and timesheets

Written by Austin Brummer

When to confirm

Confirm the worker start when the worker is ready to begin and the assignment record has the correct start date, worker details, rate type, pay type, and required documents.

Hirers and agencies completing confirmation answer any applicable custom questions directly in the Confirm worker start date dialog, alongside the start date and allowance fields. Mandatory questions must be answered before Save or Continue is enabled. Answers are saved with the confirmation; cancelling the dialog leaves the assignment unconfirmed and does not save the answers. If a separate timesheet start date is enabled, answers are retained when returning from the date review step.

What the system checks

For hirers and agencies, a POA or unpriced time rate that blocks confirmation opens a guidance dialog. Agree the pricing, then use Amend Rates on the assignment Value tab to save positive pay and charge, or ask a user with assignment rate amendment permission.

For hirers and agencies, confirmation checks the current active default rules for the hiring company and supplying agency. If the first matching rule removes competency requirements, the assignment is exempt from the competency matrix and its document validation check. This includes older pending and cloned assignments without a saved exemption. The rule is recorded in assignment activity, and other confirmation requirements still apply.

  • The assignment is not already confirmed.

  • For hirers and agencies, hourly or daily pay and charge rates must be finite and greater than zero before confirmation. Requisitions and pending assignments may use explicitly selected POA rates while pricing is agreed. Ordinary zero time rates remain No rate and do not enable new requisitions. Update the assignment with the agreed rates before confirming; changing the rate card alone does not replace its saved rates. Unmarked zero time rates are allowed only when an active, visible piece rate has a finite positive pay or charge value for the assignment rate type.

  • The worker meets the competency matrix requirements when competency checks are enabled.

  • If the hirer enables Validate competencies under Assignment Settings, documents satisfying the assignment competency matrix must be validated by that hiring company or the system. A hiring-company decision of invalid or referred blocks that document even if it passed system validation. A validated alternative can satisfy an OR requirement. Unrelated worker documents and custom assignment documents are outside this validation check.

  • Required assignment documents, including configured custom documents, have been uploaded.

  • If lodge or WRA accommodation requires an address, the lodge address is set before confirmation.

  • The selected accommodation value is stored when accommodation is part of the confirmation flow.

  • If effective WRA travel is enabled but does not apply to the assignment, an information box asks the confirmer to confirm that it is not required. Save remains disabled until the acknowledgement is checked; cancel and update the assignment travel details first if the allowance should apply. When WRA accommodation applies and travel alongside lodge is disabled, the travel acknowledgement is hidden because travel cannot apply to that assignment.

What confirmation changes

  • The assignment status changes to Confirmed.

  • By default, the selected assignment start date also becomes the timesheet start date.

  • When the hiring company enables Separate timesheet start date, hirers and agencies who can confirm the assignment must select the timesheet start date because it is not prefilled. The date picker opens at today's date without selecting it. Before confirmation, a review step shows both the assignment start date and timesheet start date, with an option to go back and amend them. This setting does not apply when the company imports timesheets.

  • The confirmation is recorded in the assignment activity history.

  • For hirers and agencies with confirmation permission, Un-confirm Assignment is available directly in the Actions menu on confirmed assignments with no timesheets.

  • The source requisition's assigned worker record is updated when the assignment came from a requisition.

  • Timesheets may be prefilled when the company configuration enables prefilled timesheets.

If confirmation is blocked

Review the error message and correct the missing requirement. Common blockers are missing or zero pay and charge rates, missing required documents, failed competency checks, a missing lodge address where one is required, or an unchecked acknowledgement that WRA travel is not required.

If rates are missing, hirers or agencies with rate amendment permission should configure the matching hourly or daily rate or enter the agreed positive pay before retrying confirmation. Agencies without that permission should ask the hirer to correct the rates.

For hirers and agencies with permission to upload the required custom document, choose Upload now when confirmation reports a missing document. If only one custom document is missing, upload it in the dialog and select an expiry date if required. A success message confirms it has been saved; then confirm the worker start again. If several documents are missing, Upload now opens the Worker tab so you can upload them there.

Requiring competency document validation

Hirers can enable Validate competencies in company configuration under Assignments, Assignment Settings. It is off by default and applies to future confirmation attempts by both hirers and agencies, including pending assignments already created. It does not change assignments that are already confirmed.

The check uses the competency matrix applicable to the assignment, including assignment or requisition overrides and project requirements. It applies independently of the submission competency-check setting. If no matrix requirements apply, there are no competency documents to validate.

If confirmation is blocked, review the listed competency requirements on the worker record. Hirers should validate the relevant uploads or resolve invalid or referred decisions before trying again. Agencies should supply the required documents and ask the hiring company to review any outstanding validation. Replacing a document requires validation of the replacement; approval of an earlier upload does not approve it.

Who can confirm: hirers and agencies

Confirmation can be carried out by the hiring company or the agency, depending on how the hiring company has configured assignment actions. Each company decides, per action, whether the company side, the agency (supplier) side, or both can confirm.

If you work for an agency, you can confirm a worker's start only when the hiring company has enabled supplier confirmation and you have the confirm permission for that company or project. When confirmation is reserved for the hiring company, you cannot confirm and should make sure the worker's documents, competencies, and employment details are in order so the hiring team can confirm without delay.

  • Some confirmation requirements, such as the worker's self-employment status or Key Information Document, can be set by either the company or the agency based on the same configuration.

  • Whoever confirms, the system runs the same document, competency, accommodation, and WRA travel acknowledgement checks before the start is accepted. If travel should apply, cancel confirmation and update the assignment travel details first; agency users who cannot amend them should ask the hiring team to do so.

  • Agencies see confirmation only for their own workers, on companies they have access to.
