Timesheet subtabs
The Timesheets tab groups assignment timesheets by workflow state: Pending, Require Approval, Approved, Cancelled, and Absent. The Expenses subtab shows expenses linked to the assignment's worker context.
Approval workflow
Pending timesheets can be requested for approval when the action is available.
Require Approval shows timesheets awaiting approval or rejection.
Bulk approve and bulk reject actions appear when your role can take those actions.
Individual approve and reject actions are available from rows where supported.
When recipient selection is enabled for the hiring company and a hirer or agency requests approval, up to 5 eligible approvers are notified automatically, excluding the requester. If there are 6 or more, select 1 to 5 people to notify. Bulk requests group timesheets with the same eligible approvers. The selection controls notifications only and does not change approval permissions.
For hiring companies outside the recipient-selection trial, approval requests automatically notify all eligible approvers, excluding the requester and respecting notification preferences.
Future timesheets
Use View Future Timesheets to review future generated timesheets for the assignment. Future timesheets may also be referenced when date, rate, shift, trade, or cost-code changes need to update existing timesheet data.
Expenses
The Expenses subtab shows expense records tied to the assignment's worker. Selecting a record opens the related expense workflow.
Accommodation or lodge allowance
When the assignment has applicable accommodation or lodge allowance data, an additional subtab shows the lodge breakdown for the assignment, including the lines that contribute to the allowance and any adjustments applied.
Assignment-specific timesheet approvers
When the company allows assignment-specific timesheet approvers, the Overview tab shows the current approvers and a way to edit them. Choose up to four approvers from the users with the project's Timesheet Approval permission. If the expected user is not listed, ask an administrator to grant them that permission in User Management.
A project approver selected to approve the originating requisition can view its assignments, timesheets, and related data without also being selected as an assignment-specific timesheet approver. Selected hiring managers on the current originating requisition can also view linked assignments and timesheets within their existing project access, including records created before they were selected. This includes the assignment's timesheet list and the Assignments and Timesheets tabs in worker details. Hiring manager selection does not grant timesheet approval permissions. Other non-exempt users remain subject to the assignment-specific timesheet approver selection.
For agencies: timesheets on your placements
If you work for an agency, the Timesheets tab is where you track the hours and expenses your placed workers are being paid and charged for.
You can review your workers' timesheets across the Pending, Require Approval, Approved, Cancelled, and Absent subtabs.
Timesheet approval is controlled by the hiring company's timesheet approvers, so approving and rejecting timesheets is normally a hiring-company action.
Rate, value, and charge figures on timesheets can be hidden from agency users by access control.
Expenses and accommodation or lodge allowance lines appear for your workers where they apply, so you can see what contributes to their pay.
