How to Submit Your Timesheet through the Timesheet Portal

Accessing Your Personal Timesheet Portal

Each worker has a unique Timesheet Portal URL. The URL is the same for all workers except for the unique worker number at the end. For example:

In this example, "5417" is the worker's unique number. Every worker will have their own number appended to the base URL. Share the correct URL with each worker so they can access their personal timesheet portal directly.

Steps

1. Access the Timesheet Portal

Open the Timesheet Portal using your unique URL. Enter your email address (the one linked to your worker profile) and input your last name. Click 'Continue'.

2. Verify Your Identity

A verification code will be sent to your registered mobile phone number. Enter the verification code in the provided field to verify your identity.

3. Select Your Timesheet

Choose the timesheet you wish to submit from the list.

4. Allocate Hours to Cost Codes

Review the hours allocated for the selected timesheet. If necessary, select a cost code to allocate hours. You can split hours between different cost codes (e.g. 5 hours to one cost code and 5 hours to another). Click 'Save Allocation' to confirm your changes.

5. Adjust Shift Type (if needed)

If you need to change the hours or shift type (day or night), make the necessary adjustments.

6. Submit Timesheet for Approval

Once satisfied with the allocations, click 'Submit for Approval'. Ensure you save any changes made.

7. Add Expenses (if applicable)

To add an expense, select 'Actions' and then 'Add Expense'. Fill in the required details: project name, timesheet reference, date of expense, expense value, category of expense, and relevant cost code (if applicable). If there is no receipt, provide a reason and assign a declaration. Click 'Save'.

8. Ensure All Hours Are Allocated

Confirm that all hours are allocated to a cost code before submission. If not, make the necessary allocations.

9. Review Submitted Timesheets

After submission, you can review your timesheets. If you cannot find a timesheet, check your filters. Clear filters if necessary to view all timesheets, including approved, pending, or those requiring approval.
