Troubleshooting Timesheets

Common reasons timesheet actions are missing, disabled, or failing, and where to check first

Written by Austin Brummer

I cannot see a timesheet

  • Confirm the user has a relationship to the company, project, agency, or MSP company list.

  • If specific timesheet approvers are enabled, confirm the user is listed as a timesheet or requisition approver on the assignment, is a selected hiring manager on the current originating requisition, or has an exempt role. Hiring managers still need the required project access, and selection does not grant approval permissions.

  • Check whether the list is filtered by company, project, supplier, site, worker, tag, week ending, or status.

  • Check whether the timesheet is in another tab, such as Absent or Cancelled.

An action is missing

  • Check the user's permission for the action, such as approve, amend, import, create, delete, recall, or raise expense invoice.

  • Check company and project timesheetAdjustment configuration for company-side or supplier-side amendment.

  • Check whether rate or billing access controls hide the action.

  • Check whether the timesheet status supports the action.

Approval fails

  • If mandatory PO approval is enabled, confirm a valid PO is linked and covers the timesheet period.

  • If cost-code allocation is required, confirm all worked hours are fully allocated.

  • Confirm the timesheet is in Require Approval and is not already approved, absent, or cancelled.

  • Confirm the approver has timesheet approval permission for the relevant entity.

Mark absent fails

  • Approved timesheets cannot be marked absent.

  • Pending-approval timesheets cannot be marked absent.

  • Already absent timesheets cannot be marked absent again.

  • Timesheets linked to an invoice cannot be marked absent.

Unapprove is unavailable

Unapprove is available only on approved timesheets when the user has approval permission and the timesheet is not linked to an invoice or AfP.

Import fails

  • Use an .xlsx file.

  • Download the current company-specific template.

  • For Import Hours, keep the file to 100 rows or fewer.

  • Remove duplicate timesheet references.

  • Use numbers with no more than two decimals for daily hour values, using 0.25-hour increments (.00, .25, .50, or .75).

  • Use values between 0 and 24 for absolute mode, or between -24 and 24 for delta mode.

Expenses cannot be edited

  • The expense may be linked to an invoice or AfP.

  • The timesheet may be absent or cancelled.

  • The expense may be a WRA accommodation expense.

  • The user may lack timesheet amendment permission.

  • The user may be in a worker-facing or restricted context.

Totals look wrong

Hirers and agencies should review the Value tab, daily timelogs, breaks, overtime, rate descriptors, approved expenses, cost-code allocations, WRA accommodation, and version selector. If the issue appears systemic, the timesheet integrity monitor checks stored totals, potentially overlapping work in the same week, weekly hours, breaks, expenses, cost-code allocations, assignment data, rates, and commercial values. For enhanced-uplift timesheets, the monitor compares assignment base rates and validates the recorded WRA breakdown instead of comparing flat overtime, weekend, bank-holiday, and nightwork rates. Hirers and agencies should review the breakdown to confirm the uplifted hours and values.

Lodge allowance is missing or wrong

  • Confirm WRA accommodation is enabled at company level and not overridden off at project level.

  • Confirm the assignment is eligible (start date within the configured WRA window and any role or trade rules satisfied).

  • Check the worker-week meets the minimum hourly threshold; days below the threshold do not earn the allowance.

  • Check whether lodge days to subtract and the payable days floor are configured at company or project level.

  • Check sibling timesheets in the same worker-week: a day can only count once, and a day locked to an invoiced or AfP'd sibling will not move.

  • Authorised absences can reduce or zero a day; unauthorised absences leave the allowance in place.

  • See the WRA Accommodation and Lodge Allowance guide for the per-day breakdown and reconciliation rules.

Lodge journey travel is missing or wrong

  • Hirers should check that the effective company or project settings enable WRA, travel and Stay-based journeys. Agencies should ask the hiring team to check these settings. Confirm the assignment travel flag is on and it is not marked as fixed-depot.

  • Check the lodge postcode and project postcode, the calculated one-way route, minimum payable mileage and rate table version for the timesheet week ending. Home, site, pick-up and manual home-distance overrides do not control journey mileage. Route or rate lookup failures preserve existing expenses until calculation can resume.

  • Check travel-alongside-lodge is enabled if accommodation also applies. Accommodation eligibility is separate: a lodge address alone does not grant accommodation, and journey travel can qualify without a payable accommodation allowance.

  • For stay-based travel, inspect dated hours after breaks, absence markers and adjacent weeks on the same assignment. Consecutive worked days continue one stay. Blank or zero-hour dates in processed or imported coverage end it; a completely blank pending timesheet does not. A worked assignment end date establishes the return immediately.

  • Hirers and agencies can choose Awaiting return evidence in the Assignments page menu to find stays needing evidence through yesterday, then open an assignment and follow its timesheet links. This excludes established returns unpaid because of the cap or eligibility rules. If a return appears in the following week, check which timesheet supplied the non-working evidence: the recorded return date is the last worked day, but its payment week is the observing timesheet’s week.

  • Review the worker’s other assignments for the same company and agency. Only two journeys or allocations are paid each week, and billed quantities reserve capacity. Travel and fare lines represent the same journeys, not separate cap usage. Extra journeys do not carry forward.

  • For Pay regardless of days worked, wait until the company week has ended and the daily 04:00 UK-time run has processed it. Check the assignment overlaps that week and look for an existing or generated pending timesheet. Partial and no-hours weeks can qualify, but cancelled timesheets are not recreated and missed older weeks are not automatically caught up. The timesheet still needs normal approval before billing.

  • Journey quantities and rates cannot be edited directly. Correct hours or assignment details where permitted. Company or project settings changes do not automatically sweep historical weeks; already-billed travel is preserved and needs separate review without automatic adjustments or credits. Agencies should raise unresolved configuration or historical allocation issues with the hiring team. See WRA Travel and Fare Allowance on Timesheets for the full rules.

For agencies: why an action is missing

  • Confirm you hold the relevant agency permission, such as amend, recall, import hours, or raise expense invoice.

  • Check that the hiring company allows supplier-side adjustment for that company or project; amend and import actions are hidden when it is off.

  • Remember that approve, reject, unapprove, mark absent, reinstate, and manual timesheet creation are normally hiring-company actions.

  • If billing tabs or invoice actions are missing, confirm the hiring company has allowed your agency to invoice; otherwise they raise billing on your behalf.

  • If rates or charges are hidden, your agency profile may have rate or billing access restricted. To view and add expenses with rates hidden, ask for Add expenses permission within the relevant scope. Existing expense amendments still require timesheet amendment permission.

  • Remember you only see timesheets for your own workers, so select the correct agency and check the list filters.

A custom bank holiday appears on the wrong day

Custom bank holidays use the calendar date configured for the holiday region, including during summer time. Hirers should check the configured date, region and project selection. Agencies should ask the hirer to confirm these settings if the Value tab does not match the expected holiday.

If a timesheet was calculated with an incorrect holiday date, ask for its rates and values to be reviewed. Correcting the holiday display does not automatically recalculate existing timesheets.
