Adding, Importing, and Exporting Trades

How to add trades from master categories, import trades from a file, and export trade data

Written by Austin Brummer

Add trades manually

Use New Trade from the Trades page actions menu or the empty-state action. The dialog loads available master trade categories and the items inside each category.

Before adding trades

  • Confirm you are in the correct company context.

  • Check whether the trade already exists, including inactive trades.

  • Confirm the company is active.

  • Confirm you have trade create permission.

  • Decide whether it is faster to select trades manually or import a spreadsheet.

Selecting trades

Search or filter by category, select the trades you want to add, and confirm the selection. Existing company trade names are removed from the selectable list so duplicate names are not offered. If the company has trade tags, they can be selected during manual creation; when any trade tag is mandatory, at least one tag must be selected before saving.

Manual add confirmation

After selecting trades, the confirmation dialog shows how many trades will be added. Confirming creates those trades for the current company. Cancelling returns you to the selection dialog without creating records.

What manual creation saves

Created trades are saved to the current company, linked to the selected master trade category, marked active, saved with any selected trade tags, and can then be used in downstream workflows.

Download the import template

Use Import Trades, then Download Template. The template contains a Trades sheet with Trade Name as the required column and Description and Tag IDs as optional columns. When trade tags exist, the workbook also includes a Trade Tags sheet with the valid tag IDs to copy into import rows. A single-column CSV or Excel file can also be uploaded, but it cannot assign tags.

Preparing the import file

  • Keep one trade per row.

  • Use the Trade Name column for the company-specific trade name.

  • Use Description for optional detail that should appear on the trade record.

  • Use Tag IDs to assign trade tags. Enter one or more tag IDs separated by commas or semicolons.

  • Avoid duplicate trade names in the same file.

  • Do not rely on sheet names other than Trades unless the first row clearly identifies the trade-name column.

Import workflow

  • Upload the file.

  • The importer reads the Trades sheet, a sheet with a recognised trade-name header, or the first sheet in the workbook.

  • The preview shows trade name, category, description, and tag IDs.

  • AI suggests a master trade category for each row when categories are available.

  • Review or change category selections before confirming the import.

  • Rows without a category cannot be imported until the category is selected.

Category suggestions

After upload, the importer loads the available master trade categories and requests category suggestions for the preview rows. Suggestions are applied only when they match an allowed category. You can change suggested categories before confirming.

Import validation

  • Company ID is required.

  • The company must exist and be active.

  • Trade name is required.

  • Category is required during import.

  • Category must match an existing master trade category.

  • Duplicate names in the import file are skipped.

  • Trade names that already exist for the company are skipped.

  • Tag IDs must match trade tags for the company.

  • When mandatory trade tags are configured, imported rows without at least one valid tag ID are skipped.

Partial import behaviour

The import can create valid rows while skipping invalid rows. The result shows imported, skipped, and total counts. Skipped rows are reported with row-level reasons so the file can be corrected and uploaded again.

Import results

After import, the confirmation message shows how many trades were imported and how many were skipped. If skipped rows include errors, an error report named trade-import-errors.xlsx is downloaded.

Export trades

Use Export Trades from the Trades page actions menu. System Admin users select a company before export. Other users export from their current company scope. After manually changing a table filter, Export filtered results becomes the primary button and exports matching trades across pages. Preset filters do not trigger this switch; clearing manual filters restores the usual action. The workbook includes trade id, name, description, company name, active status, master field, and tags.

Export file naming

Trade export uses the platform export filename format for trades and includes the company scope when available. The export is generated as an Excel workbook.

After adding or importing

  • Review descriptions and tags on the trade detail page.

  • Check active status.

  • Add or review rates for trades that will be used on requisitions or assignments.

  • Add competency requirements where worker qualifications or certifications matter.

  • Run a search or filter from the Trades page to confirm the new records are visible.

For agencies: adding, importing, and exporting

Building the trade catalogue is a hiring-company task, so for agencies this area is mainly about exporting for reference.

  • Adding and importing trades create the company's role catalogue, so they are hiring-company actions rather than agency ones.

  • Where your access allows it, you can export trades for a connected client company to use in your own reporting.

  • Your export is scoped to the company you select and reflects that company's trades.

  • If a trade you supply against is missing from the catalogue, request it from the hiring company so they can add it.
