Approving a requisition

How to review and approve a requisition, including agency selection and approval comments

Written by Austin Brummer

Find requisitions awaiting approval

Requisitions awaiting approval appear to users who have the correct approval access for the project or company. You can find them in any of the following places:

  • The requisition list, filtered by Raised status.

  • The Home Needs attention section, where applicable.

  • Direct links from notification emails or in-app alerts.

  • Multi-stage approval views, which show the current pending stage and approver.

Review the requisition details

Before approving, review the key details of the request:

  • Project, site, and work activity

  • Trade and any trade-specific requirements

  • Dates and shift pattern (for shift-based requisitions)

  • Quantity and assignment basis (auto-assign vs manual-assign)

  • Rates, rate type, pay type, and cost code

  • Selected agencies

  • Comments and any custom fields

  • Fields configured for After submission appear in the requisition overview before approval and can be completed with the edit icon on the field row

Hold off if anything is wrong

If the details are incorrect, do not approve until the issue has been corrected or clarified. Reject the requisition with a clear reason, or ask the requestor to amend it before re-submission.

Step through the approval

Approval is accessed from the Actions menu at the top right of the requisition detail page. You do not need to scroll to an approval section. Follow these steps to complete an approval:

  1. Open the requisition from Requisitions or from an approval notification.

  2. Select Actions at the top right, then Approve requisition. If your company uses a different name for requisitions, the action label uses that name.

  3. If this is the final stage, review the agencies to notify and amend the selection if permitted. At an intermediate stage, select the next-stage approver when the selector is shown; stages configured with specific users assign their approvers automatically.

  4. Complete any custom fields configured for When approving. Mandatory fields must be completed before approval.

  5. Add approval comments where useful for context or audit.

  6. Resolve any validation messages shown by the form.

  7. Select Submit to confirm the approval.

If Approve requisition is missing

First check the Actions menu at the top right of the requisition detail page. Approval information in the Overview tab does not contain the approval action.

Being an approver does not guarantee the option appears for every requisition. Its availability depends on your approval permissions, any project approval value limit, the applicable approval-stage rules, and the requisition's status. If the option is missing, ask your hiring company's administrator to check these details.

Requisition approval is a hiring-company action. Agency users respond to requisitions sent to their agency rather than completing the hiring company's approval.

Selecting agencies to notify

At the final approval stage, you must select the agencies that should receive the requisition. Things to be aware of:

  • Restricted agencies are not available for selection.

  • If purchase order validation is enabled, The system checks that the selected agencies have the required PO coverage before approval can be submitted.

  • If tier rules are configured, at least one Tier 1 agency may be required.

  • Supplier list amendments may be permission-controlled depending on your role.

Selecting the next approver

In a multi-stage approval flow, an intermediate approver may need to select the approver for the next stage instead of selecting agencies. When the next route stage uses specific users, the approver selector is hidden and the configured users are assigned automatically. The requisition only moves to agency notification after the final approval stage is completed.

Approvers who cannot approve the requisition value remain visible in the selector but are disabled. Hover over a disabled approver to see their approval limit and the requisition value.

Approval comments

Use the comments field to add context for the approval decision. Approval comments are saved on the requisition and included in the approval activity history, so they are visible to anyone reviewing the requisition later.

What happens after approval

When the final approval stage is completed, the system:

  • Marks the requisition as approved and sets the approved date.

  • Records an approval activity entry, including any comments and approval-stage custom-field values supplied during that approval.

  • Notifies the requestor with an approval email subject that includes the requisition reference and project name, for example: Requisition (BBV-R1340) approved - SUBLOT 2B.

  • Emails and notifies the eligible agencies so they can review the requisition and submit workers.

  • Dispatches configured custom notifications and the requisition-approved webhook events.

  • Custom fields configured for completion after approval then appear in the requisition overview and can be entered or updated with the edit icon on the field row. Any user who can access the requisition can use this action.
