Select agencies
Agency lists are based on the agencies configured for the project and company. When choosing agencies to send to, keep these rules in mind:
Restricted agencies are not available for selection.
Agencies already attached to the requisition are excluded from the additional send list.
If purchase order validation is enabled, selected agencies must have valid PO coverage for the project, site, and trade.
If you do not have permission to amend the supplier list, the agency selector is limited or disabled.
Send immediately
To add agencies to an approved requisition, select Actions at the top right, then Send to agency. To release an already scheduled agency early, open the Agencies tab, select its three-dot row menu, then Send Immediately and confirm. When an agency is sent immediately:
The agency is added to the requisition with Pending status.
The agency is emailed and agency users receive in-app notifications.
The agency can review the requisition and start submitting workers straight away.
Scheduled or tiered sending
If tier rules are configured, agencies can be released in stages instead of all at once. Typical behaviour:
Tier 1 agencies, or agencies marked for immediate release, are sent the requisition straight away.
Later-tier agencies are marked as Scheduled and released at their configured trigger time.
A scheduled agency can be sent immediately later by an authorised user.
Notifications
Notifications follow the agency status:
Pending agencies are emailed and their users receive in-app notifications.
Scheduled agencies are not notified until the schedule releases them, or a user sends them immediately.
Purchase order checks
If purchase order validation is enabled, The system checks each selected agency before the requisition can be sent. The send is blocked when:
An agency has no active PO matching the company, project, site, and trade scope.
The matching PO has an end date before today.
This requisition check verifies a matching PO exists; it does not check the remaining PO balance or coverage of the entire requisition date range.
When supplier lists cannot be amended
Some users do not have permission to amend the supplier list. When supplier list amendment is restricted, you can only work with agencies already allowed by the requisition, project, or company setup.
If an Agencies access-control rule restricts a user from selected agencies for requisition agency selection, those agencies are hidden from requisition agency selection.
For agencies: receiving a requisition
If you work for an agency, you receive a requisition once the hiring company sends it to your desk and it has been approved. When this happens:
Your agency is added to the requisition with Pending status.
Agency users receive an email and in-app notification, unless your tier is still Scheduled.
If the hiring company adds your agency for immediate release, your enabled Requisition received custom flows also email matching recipients, in addition to the standard agency mailbox email.
The requisition appears in your requisition list so you can open it and review the requirement.
If your agency is on a later tier, you do not receive the requisition until your scheduled release time or until the hiring team sends it to you immediately.
For agencies: accepting and submitting workers
When the requirement suits you, accept the requisition and submit suitable workers in the same step. Submitting workers moves your agency status to Accepted and records your response on the requisition.
Open the requisition and review the role, dates, shift pattern, quantity, and requirements.
Select Actions at the top right, then Submit workers, and add the workers you want to put forward.
Provide each worker's details, rate, documents, right-to-work, and (for shift-based requisitions) the dates they are available.
Add any comments for the hiring team and submit your response.
When auto-assign is enabled, you cannot submit more workers than the requisition still requires, and qualifying workers may be assigned immediately.
When manual-assign is used, your submitted workers are reviewed by the hiring team before any assignment is created.
Submitted workers start at the Submitted recruitment stage and you can track their progress on the requisition.
For agencies: declining, amending, or withdrawing
You do not have to accept every requisition. From your side you can also:
Decline the requisition with a reason and optional comments. This sets your agency status to Rejected and notifies the hiring team, but does not reject the requisition for other agencies.
Use Actions, then Amend submission, to amend a response you have already submitted, for example to add or update workers.
Have your response retracted before you have accepted or rejected — either by your agency or by an authorised hiring-company user. A response cannot be retracted once your agency has accepted or rejected the requisition.
Be removed from the requisition by the hiring team, which also removes your submitted responses.
