Timesheet approvers on requisitions

How to select and edit requisition timesheet approvers, including limits, permissions, and downstream timesheet impact

Written by Austin Brummer

When the field is shown

The Timesheet approver(s) field appears only when specific timesheet approvers are enabled for the company. When it is shown:

  • At least one approver must be selected when raising or editing the requisition.

  • You can select up to 4 approvers.

  • Approvers are shown in the Overview tab after the requisition is raised.

Who can be selected

Only eligible project users are listed. A user appears in the selector when all of the following are true:

  • They are active and verified.

  • Project-role users are assigned to the project; company admins are loaded from the project's company.

  • They hold the project-level Timesheet Approval permission.

  • Their role is Company Admin, Project Admin, Project Requestor, Project Finance, or Project Approver.

Select timesheet approvers when raising a requisition

When raising a requisition, choose the users who should approve timesheets for assignments created from it. Selected approvers are stored on the requisition with their user ID, name, email, and role.

Edit timesheet approvers later

After the requisition is raised, you can amend the approver list:

  1. Open the requisition Overview tab.

  2. Select the edit action next to Timesheet approvers (requires the timesheet approver amendment permission).

  3. Adjust the list — keeping at least one approver and no more than 4.

  4. Save. The system records the change in the requisition activity history.

If a user is missing from the list

If you expect a user to be selectable but they are not, check that they meet all of these conditions for the relevant project:

  • Active and verified user account

  • Assigned to the project for project-role users, or a company admin in the project's company

  • Holds the Timesheet Approval permission for the project

  • Has one of the allowed roles, including Company Admin

How this affects downstream timesheets

Requisition timesheet approvers feed directly into the assignments and timesheets created from the requisition:

For hirers, selected hiring managers with the required project access can see the requisition, its submissions, and linked assignments and timesheets even if they are not timesheet approvers. Hiring manager selection does not grant approval permissions. Agency users continue to access requisitions and submissions through their existing agency and project access.

  • When workers are assigned, the requisition's timesheet approvers are copied onto the new assignments.

  • Assignment-level approvers control who can see and approve related timesheets when specific timesheet approvers are enabled.

  • The project approver selected on the originating requisition can see its downstream timesheets without also being selected as a timesheet approver.

  • Some roles are exempt and can see timesheets within their existing scope: Company Admin, Project Admin, Company Finance, Agency Admin, Agency User, and MSP Admin.

  • Selected hiring managers on the originating requisition can also view its linked assignments and timesheets within their existing project access. Other non-exempt users must be listed as a timesheet approver on the assignment to access the related timesheets.

Changing approvers after assignments exist

Editing the requisition timesheet approvers only affects future assignments. Existing assignments keep their own approver lists, so update them separately if their timesheet approvers also need to change.
