Amending a requisition

How requisition amendments work, including quantity, dates, shift pattern, rates, cost code, competency requirements, and amendment reasons

Written by Austin Brummer

General rules

Each amendment type has its own permission and its own constraints. The main Actions menu follows these rules; edit controls in individual tabs have their own checks:

  • Filled and rejected requisitions do not show the standard amendment actions.

  • For cancelled requisitions, the Actions menu offers reinstatement to eligible users instead of the normal actions.

  • Every amendment is recorded in the requisition activity history.

  • Some amendments require a reason and comments (see Amendment reasons below).

Change quantity

Select Actions at the top right, then Change quantity, when the number of workers required has changed.

  • Quantity can be increased or reduced by users with quantity amendment permission.

  • For standard requisitions, quantity cannot be reduced below the active assigned worker count. For shift-based requisitions, the limit is checked per working date; explicit daily requirements are preserved.

  • Changing the quantity recalculates whether the requisition is Filled.

  • The change is recorded in the activity history.

Amend dates

Select Actions at the top right, then Amend dates, when the requisition start date or end date needs to change.

  • Dates can only be amended while there are no active assigned workers.

  • Changing dates recalculates shift statistics and the requisition value.

  • Select a date change reason from the company-managed list and add comments when the selected reason requires them.

  • If agencies have already responded, relevant agency users are notified that the dates changed. The email subject includes the requisition reference, for example Requisition (WAT-R720) dates amended.

Amend shift pattern

Select Actions at the top right, then Amend shift, to change working days, times, or breaks on an hourly requisition. This applies to both Standard and Shift-Based fulfilment modes.

  • Available for hourly requisitions when you have the shift amendment permission.

  • Only available while there are no active assigned workers.

  • Recalculates shift statistics and requisition value.

  • A change reason may be required if your company has enabled the shift change reason list.

Amend rates

Use the Value tab to amend requisition rates when rate amendments are allowed. No rate is not offered in the amendment dialog; choose Rate or POA as appropriate.

  • Amend Requisition Rates (Before approval) controls rate changes while raising a requisition and after raising it until all approval stages are complete. Amend Requisition Rates (After approval) controls rate changes once the requisition is fully approved. Users previously granted the single rate amendment permission receive both permissions. Agencies see the resulting rates subject to rate access; these permissions do not grant agencies access to amend hirer requisitions.

  • When saving, you must have the permission for the requisition's project and current approval stage. Having only the permission for the other stage does not allow the change.

  • Rates, pay type, and rate type can be changed after agency responses, before any worker is assigned. Enter and review the rate for the selected hourly or daily basis; amounts are not converted between the two.

  • Pay can be amended directly. Employer costs can be switched to a fixed-value override for PAYE, CIS and PSC rates, while agency markup can be overridden as a percentage. Selecting the markup override starts with the percentage currently applied to the rate.

  • Amending rates recalculates the requisition value and marks the requisition as using a rate override.

  • Old and new pay and charge rates, their pay and rate types, and any active employer-cost and markup overrides are recorded in the activity history.

  • Agencies see the resulting requisition rates but cannot change the hirer's requisition overrides. A worker whose submitted pay type or rate type differs from the overridden requisition cannot be assigned until the requisition or worker submission is corrected.

  • A change reason may be required if your company has enabled the rate change reason list.

Amend cost code

Use the cost code edit action on the Overview tab to change the requisition cost code.

  • Available to users with cost code amendment permission.

  • Changing the requisition cost code does not update existing assignments.

  • Only future assignments created after the amendment use the new cost code automatically.

  • Existing assignments must be adjusted separately if their cost code should change.

Amend custom fields

Use the edit control beside a custom field on the requisition to correct values such as a Job/Monitor number. Saving updates the field on existing assignments linked to that requisition, and their timesheets display the corrected value where the field is configured to appear. Hirers and agencies see the correction according to their existing access and the field's display settings.

  • Corrections also appear on historical timesheet and invoice screens. Previously generated invoice PDFs and attached snapshots remain unchanged.

  • The requisition and affected assignments record the amendment in their activity history. Refresh an already-open assignment, timesheet, or invoice to see the updated value.

  • Saving an existing value again also synchronises that field to assignments that still have an older value.

Amend competency and requirements

Select Actions at the top right, then Amend competency matrix, when the competency or certification requirements need to be overridden.

  • Available to users with competency override permission.

  • Stores custom competency requirements directly on the requisition, so it can differ from the standard trade competency matrix.

  • Requires a change reason in the amendment flow.

  • The activity history records the amendment and, where available, the previous and new requirement summary.

Approval impact of value-changing amendments

While a routed requisition is awaiting approval, changing quantity, dates, shift pattern, or rates can change its estimated approval value and therefore its routing decision. Requidex always shows an impact review with the old and new value, route, routing decision, and stages before saving the amendment. If the route or routing decision changes, approval has already started, or the current approver or agency selections are no longer valid, reselect the complete agency list and choose an eligible first-stage approver when prompted. If that stage uses specific users, its configured approvers are assigned automatically. If routing is unchanged and approval has not started, confirm the review without reselecting approvers or agencies; the current approval state and selections are preserved.

Correct project-costed classification

Open the Overview tab and use Correct cost classification while a routed requisition is still awaiting approval. The impact preview shows the resulting route, stages, and eligible approvers. Applying the correction resets approval progress, requires first-stage approver selection when prompted (specific-user stages assign their configured users automatically), and requires the complete agency list to be reselected. Approvers for later stages are selected as approval progresses, or assigned automatically for specific-user stages. A configured reason is required, and the correction is blocked after rejection, cancellation, final approval, or release to agencies.

Amendment reasons

You are asked for an amendment reason when the relevant company change reason list is enabled for the type of change.

  • Quantity amendments require a reason from the Requisition quantity changed company list. Date amendments require a reason from the Requisition dates changed company list.

  • Rate and shift amendments can require a reason through company configuration.

  • Competency requirement overrides always require a reason.

  • Comments are shown or required according to the selected change-reason item. Follow the fields and validation shown in the dialog.

  • Reasons and comments are stored on the activity record for audit purposes.

For agencies: how amendments affect you

If you work for an agency, amendments made by the hiring company can change the requirement you are working against. Keep these points in mind:

  • When dates change after you have responded, agency users are notified so you can confirm your workers still suit the new dates.

  • The hiring company can amend rates, pay type, and rate type after you respond, until a worker is assigned. Review the updated requisition rates and ensure your submitted workers use the agreed pay type and rate type before assignment.

  • Quantity, shift, cost code, and competency changes are recorded in the activity history, which agency users can review on the requisition.

  • If the requirement has changed significantly, you may need to amend your submitted workers to match.
