Work dates
For hirers and agencies, individual and bulk amendments cannot add work before the assignment starts or outside the timesheet period. Work after the assignment ends requires an explicit assignment extension through individual amendment or an earlier assignment date change. Worker portal amendments enforce both start and end dates. Existing out-of-period work can still be reduced or removed.
Manual creation
Create Timesheet appears from the Pending or Approved tab when the user has timesheet create permission, company-side timesheet adjustment is enabled, and company spreadsheet import is not enabled. Choose Find by Project to select a project first, or Assignment or worker to search by assignment reference or worker name using at least two characters. Select a matching assignment, then one or more week endings. Assignment options show the reference, worker name, project, dates, and status; selecting an assignment also selects its project. Projects without an explicit company-side timesheet adjustment override inherit the company setting, while an explicit project setting takes precedence. Project-role users see only projects where they are assigned. Existing non-cancelled timesheets are flagged in the week-ending list.
Eligible assignments
The create dialog lists assignments for the selected project or matching assignment reference or worker name. Both routes include only eligible projects you can access and filter out pending and cancelled assignments. Week-ending options are generated from the assignment dates, assignment timesheet start date when present, company weekend day, and shift activity.
Individual amendment
Day-rate timesheets record days or fractions of a day, not hours split into basic and overtime. Hirers and agencies with amendment permission can record up to 2 day units per day. Individual and bulk amendments support 0.25-unit increments from 0 to 2. A day-rate worker cannot have a day entered as 8 basic hours plus 2 overtime hours; weekday overtime is not supported for daily pay. This does not prevent a nightwork uplift on the daily rate. With standard uplifts, a 50% nightwork uplift set on the assignment changes £200 basic daily pay to £300 for one full night shift. Hirers should check the assignment's nightwork uplift, include the relevant eligible timesheets when updating rates, and check the recorded shift type. Agencies can amend day units and shift types where permitted, but should ask the hirer to configure the agreed assignment uplift. PAYE, CIS, or PSC does not determine whether the timesheet records hours or days; the assignment's pay type does.
The detail page can show Amend Timesheet when the user has amendment permission, the status supports amendments, and company or project configuration allows it. Approved, invoiced, AfP-linked, or cancelled states can limit or change the available amendment path.
The amendment dialog covers the full timesheet amendment workflow: hour or day-unit adjustments per day, day-state choices for authorised absence, unauthorised absence, or non-working day where those options are enabled, and piece-rate units where piece rates are configured for the trade. Hourly adjustments must use quarter-hour values ending in .00, .25, .50, or .75. When adding hours to a zero-hour or non-working day, select the required day, night, or configured backshift type on that day before submitting. Existing billed days with worked hours keep their original shift type. Existing hidden piece rates remain available when amending piece work, but hidden rates cannot be added as new piece-work lines. Any combination of these changes is submitted in one action and feeds the same invoice, AfP, or credit-note path.
For both hirers and agencies, hours cannot be increased when all hourly pay and charge rates on the timesheet are zero. Existing hours can still be reduced or removed, and piece-rate units can still be submitted. The same check applies to bulk amendments, hour imports, and worker submissions. Day-rate timesheets and timesheets with a non-zero hourly pay or charge rate are unaffected. For both hirers and agencies, hidden rates do not prevent hour amendments: this check uses the actual timesheet rates, while rate values remain hidden.
When hirers or agencies amend daily timesheets through bulk amendments or hour imports, the refreshed daily rates used to price the amended days are saved with the timesheet's rate summary.
Piece rates on the amendment dialog
When the company rate card has non-zero piece rates for the timesheet's trade, region, sector, and rate type, piece-rate inputs appear on the amendment dialog unless the piece rate has been hidden on the assignment. Daily piece rates show one unit input per day aligned to the day rows; weekly piece rates appear in the same piece-rate column layout and are entered once on the week total row.
Existing piece-rate units on the timesheet pre-populate the inputs. The server snapshots the rate-card values, applies any assignment-level employer-cost and markup overrides, and computes pay and charge amounts; the user only enters units. Piece-rate changes count as an amendment on their own, so the dialog can be submitted with no hour change.
If an invoice or AfP has already been raised, piece-rate deltas are included in the adjustment alongside any hour deltas. For hirer and agency amendments that generate an additional invoice, removed work offsets added work, including when a day is reduced to zero. The additional invoice reflects the net charge change.
Changing only hours leaves saved piece-rate entries unchanged. Daily piece-rate dates are retained when the amendment is saved and reopened.
For both hirers and agencies, dated piece work must fall within the timesheet start and end dates. Saved piece-work dates outside the timesheet period appear as dated rows in the same amendment table, using the normal daily piece-rate inputs. Their units are included in each piece-rate total, while hours and shift changes are unavailable on those extra rows. To remove out-of-period work, set its units to zero; if it belongs on another day in this timesheet, enter the units on that day. Out-of-period units must be cleared before saving piece-work changes. Changes are saved only on submission; cancelling discards them.
Bulk amendment
Hirers and agencies with bulk amendment access can use Sort by above the table to choose Default, Worker first name, Worker last name, Trade, Project, Site, or Agency. Each time the dialog opens, it starts on Default: the original server order, newest week ending first; order within the same week is not guaranteed. Use the arrow beside Sort by to switch between A–Z and Z–A. The Worker heading also cycles through alphabetical direction and Default using the last selected worker-name option in the current dialog. Worker names break ties, and names remain displayed in their usual order. Sorting keeps entered amendments and copy selections attached to the same timesheets.
Bulk amendment is available from the Timesheets page when amendment actions are available. Agencies select the company in the dialog header. Open Filter to choose the week ending, projects, agencies, trades, regions, and sectors. Region and sector selections limit timesheets to matching projects. The selected week ending appears beside Search above the table; Timesheet and Worker stay visible when the table scrolls horizontally. For hirers, team tags appear when the company has user tags. The number beside Filter counts changes from the default week and other selected filters; use the adjacent clear button to restore the default week and clear the other filters. Search the visible timesheets by reference, worker, project, site, agency, or trade. For hirer users with team tags, those tags are selected by default in Filter; clear them to see other eligible timesheets. Agency users can use the company and other available filters. Project and supplier-side configuration determine which projects can be selected. Where a project has no explicit adjustment override, the relevant company setting is inherited.
For both hirers and agencies, the day columns follow the hiring company's configured week ending. For a Friday week ending, the columns run from Saturday to Friday. Enter weekend work against Saturday and Sunday within the selected period; for the week ending 25 September 2026, these are 19 and 20 September. When an agency selects another company, the column order follows that company's setting.
For timesheets where absence day-state choices are enabled, bulk amendment supports the same authorised absence, unauthorised absence, and non-working day selections as the individual amendment dialog. Hirers and agencies can enter positive hours on a saved absence or non-working day to change it back to a working day; selecting an absence or non-working day clears that day's hours. Hourly values must use 0.25-hour increments.
Import hours
Import Hours is available to company admins when the user has import-hours permission and either the company uses timesheet import with Timesheets auto-approved on import enabled, or the company uses manual timesheets from the Pending tab. When Timesheets auto-approved on import is enabled for manual timesheets, Import Hours is available from the Pending, Require Approval, and Approved tabs. It is also available to agency admins for agency timesheets after they select a company in the dialog. The selector lists only companies where supplier-side timesheet adjustment is enabled and, for import-method companies, Timesheets auto-approved on import is enabled. Agency imports are scoped to that company, and the downloaded template file name includes the company name. The import supports a maximum of 100 rows, requires .xlsx files, and supports absolute hours or delta hours. Absolute replaces daily values; delta adds or subtracts the imported value. Each hourly value or delta must use a 0.25-hour increment. With manual adjustment auto-approval disabled, non-pending rows are returned as exceptions. When it is enabled, eligible Pending, Require Approval, and Approved rows are saved as Approved without sending a new approval request to managers.
Change shift type
Change Shift Type is available on non-cancelled, non-approved, non-invoiced timesheets when the user can amend. The action updates the shift type for all days to the selected day, night, or configured backshift option and may replace previous daily modifications.
Version and AfP impact
When a timesheet has invoice or AfP history, amendments can create version snapshots. If an AfP has already been raised, later amendments can appear as pending AfP adjustments on the detail page until they are included in a later AfP or deleted by a user with delete permission.
If the hiring company has invoice preview mode enabled, a proposed amendment to an invoiced timesheet produces a watermarked adjustment invoice or credit-note preview for the configured mailbox. The timesheet amendment, version snapshot, billing document, links, and activity entries are not saved. This applies whether the amendment is submitted by the hirer or an agency, allowing the same amendment to be submitted for real after preview mode is switched off.
For agencies: amending and importing hours
Whether you can amend or create timesheets depends on the hiring company's configuration, because each company decides whether the company side, the agency side, or both can adjust timesheets.
You can amend hours, day units, absence and non-working day states where shown, piece-rate units, and shift type on a timesheet only where the hiring company allows supplier-side adjustment for that company or project and you hold the amend permission.
Manual timesheet creation is a company-side action, so agencies do not create timesheets from scratch.
Agency admins can import hour adjustments for one company at a time when that company has enabled supplier-side adjustment and, for import-method companies, auto-approval on import; the template is scoped to that company. For manual-timesheet companies, Timesheets auto-approved on import controls whether adjusted Require Approval and Approved rows are accepted and saved as Approved.
Rows for timesheets you are not allowed to adjust are returned as exceptions rather than applied.
