Available date actions
Amend Dates updates the assignment date range where allowed.
Change Start Date updates the assignment start date for non-shift-based assignments.
Change End Date updates the assignment end date for non-shift-based confirmed, completed, or eligible assignments.
Change End Dates from the list page queues bulk end date changes for permitted users when timesheet import is enabled. Company Admins can queue changes only for companies where they are admins, and MSP Admins can queue changes only for assigned companies. Only one bulk end date change can run for a company at a time. The request runs in the background and shows progress in the global progress tray.
Bulk end date changes reject any row where the requested end date is before that assignment's start date.
Adding a working date to a shift-based assignment
On an assigned or completed shift-based assignment, choose Actions → Change → Add working date. Hirers with the date amendment permission can add a date before, within, or after the existing booking. Agencies can use the same action for their own workers when the hiring company has granted the relevant permission.
Add date is disabled when the selected date is already booked. After selecting a new date and choosing Add date, review the confirmation dialog. Confirm to apply the change, or submit it for approval when required. Cancel closes the confirmation without adding the date. Only the selected date is added; existing booked dates are kept. An earlier date moves the assignment start date back, and a later date moves the end date forward. For example, adding Saturday to a Sunday booking keeps both days available.
The existing active shift for that weekday is used. If there is no active shift for that weekday, the nearest booked day’s shift hours and day/night pattern are copied. The timesheet uses the rates applicable to the added date.
For manual timesheets, the added day is included in the open week or a new timesheet is created where needed. An affected approved timesheet must be unapproved by a user with timesheet approval permission first. If it is linked to an invoice or AfP, contact support to arrange the correction while preserving its billing history. Dates after the existing end date follow the hiring company’s end date extension approval process and are added only when approved. The action is unavailable while an end date amendment is pending.
End date approval
When the company has end date amendment approvals enabled, extending an end date may create a pending approval request instead of applying the change immediately. An assignment created from a routed requisition reuses the stages stored in that requisition's approval route snapshot. When approval routing is active, an assignment without a stored route uses the active default route. When routing is paused, it falls back to the company multi-stage requisition configuration, or a single stage when multi-stage approval is disabled. Shortening an end date applies immediately when permitted, subject to timesheet safety checks. The assignment detail page shows an alert with the requester, requested date, new end date, and next approver stage.
Pending assignment amendments that the signed-in hirer approver can decide are shown in the Home Needs attention section and link to the filtered assignment list.
Assignment amendment requests, stage handovers, approvals, and rejections create browser notifications as well as emails when the corresponding notification channels are enabled. Selecting a browser notification opens the assignment.
When extending an assignment, the change dialog warns if the worker has right-to-work, trade-required competency, or custom assignment documents that have already expired or will expire before the selected new end date. Competency documents that are not part of the assignment's effective trade requirements are excluded.
Approvers for the current stage can approve or reject the request.
Assigned hirer approvers must meet the configured minimum level for approval-stage pool steps. Standard project approvers can approve or reject their assigned step without a numbered approval level. A project approver cannot approve more than one pool step of the same request. A fixed approver can decide each fixed step where they are explicitly assigned, including more than one step in the same request. Agencies awaiting the date change remain subject to these hiring company approval steps.
The requester or Company Admin can cancel the request.
A fully approved request applies the end date change.
Only Company Admin can bypass approval when bypass is offered.
Timesheet impact
For hirers and agencies using Amend dates on a manual-timesheet assignment, saving the dates also restores missing eligible working days in existing pending or awaiting-approval timesheets, even if the calendar dates are unchanged. Restored days are blank so the agency can enter the hours worked. Existing entries, including non-working days, and recorded hours and values are preserved. Approved, invoiced, absent and cancelled timesheets are left unchanged. This repair does not create new timesheet weeks.
For hirers and agencies, the assignment Overview displays dates and duration in the project’s jurisdiction, falling back to the company’s jurisdiction. Daylight-saving changes do not move the displayed start date to the previous day.
For hirers and agencies, date amendments and newly generated timesheets retain the assignment’s saved rates. Use the rate amendment workflow to change rates.
Date changes can affect future timesheets. When a date change requires related timesheet changes, the workflow can ask which future timesheets should be updated. Cancelled and absent timesheets are excluded from some date-change updates.
For manual timesheets, moving an assignment start date earlier adds the newly included working days to the current open week or creates an earlier timesheet where needed. Newly created timesheets retain the assignment shift pattern and cover the applicable dates through the week ending or assignment end date. If the original timesheet for that week was cancelled, it remains cancelled and the new timesheet covers that week’s applicable dates. This applies to date changes made by permitted hirer and agency users. An approved timesheet must be unapproved by a user with timesheet approval permission before its week can be extended. If it is linked to an invoice or AfP, contact support to arrange the correction while preserving its billing history. Extending an assignment end date can update the current open timesheet or create later timesheets; if an extension continues beyond a locked final week, that locked timesheet is left unchanged and later timesheets start from the next day.
Audit trail
Date changes, approval requests, approvals, rejections, cancellations, bypasses, and failed applications are recorded in assignment activity.
Hirers and agency users who have permission to end an assignment can select the pen beside its latest Assignment ended activity to correct the reason and comments. Save updates the reason and comments in that activity without adding another activity row. The end date, original ending user and time, and timesheets are unchanged.
Hiring companies and agencies can configure an Assignment end date change custom notification flow. When an end date change is applied, matching recipients are emailed with the previous and new end dates. A completed bulk end date change sends one summary per matching flow instead of one email per assignment. Pending approval requests do not trigger the flow until the change is applied.
For agencies: changing your workers' dates
If you work for an agency, you can amend dates on your own workers' assignments when the hiring company has granted you the relevant date permission.
Start and end date changes are available where you hold the amend-date permission for that company or project.
When a start date is moved earlier for a manual-timesheet assignment, newly included working days are added to the open timesheet week or an earlier timesheet is created. If the affected week is already approved, a user with timesheet approval permission must unapprove it before the date change can update it. Agencies without that permission should ask the hirer to do this. If the timesheet is linked to an invoice or AfP, contact support to arrange the correction while preserving its billing history.
When extending an assignment, the document warning includes only competency documents required for that assignment's trade, alongside right-to-work and custom assignment documents.
End date extension approval is controlled by the hiring company; if approvals are enabled, extending an end date may create a pending request rather than apply immediately.
Only the hiring company can bypass end date approval, so a change may wait on their approvers before it takes effect.
Bulk end date changes are a hiring-company admin action and are not available to agencies.
