Timesheet export
Use Export Timesheet from the Timesheets page action menu. Choose Excel or PDF where available, then select company, project, supplier, date filter, status, and whether to include day breakdown. Available selectors depend on the user's role.
Hirers and agencies can optionally select regions and sectors in the export dialog to restrict the export to matching projects. These filters apply together with the other export selections and your existing access. Changing the selected company or companies clears the region and sector selections.
The Excel Timesheets sheet includes total pay, employer cost, markup, and charge values across active time and piece work. It also shows piece work charge separately, approved expenses, and a total charge value that combines timesheet charge and approved expenses. Mileage expenses appear in their own category column, as they do in invoice and AfP exports.
For hirers and agencies, the piece work total units column on the Timesheets sheet sums units across all piece-work entries for each timesheet, alongside the piece work charge column. It shows zero when there is no piece work. Individual entries remain available on the Piece Work sheet.
For hirers and agencies, the Excel Timesheets sheet includes cancelledDate, showing the recorded cancellation date and time for cancelled timesheets in UK local time (GMT or BST), including seconds. This matches the Cancelled Date in the list when your browser uses UK local time; the list displays hours and minutes only. It is blank for other statuses or when no cancellation timestamp is recorded.
For hirers and agencies with access to rates, hourly pay and charge rates in the Excel Timesheets and WRA Breakdown sheets retain up to four decimal places in the underlying cell values while displaying two decimal places. Select a rate cell to see its full precision in the formula bar, or increase the displayed decimal places. Monetary totals remain rounded to pennies. For reconciliation, use these underlying rates and sum the daily charges rounded to pennies; multiplying a weekly total of hours by a rate rounded to two decimal places can produce a different amount.
The Excel Timesheets sheet shows who requested approval, the user who approved the timesheet, and the selected timesheet approvers from the assignment in separate columns.
Company custom fields configured for display on timesheets are included as additional columns in the Timesheets sheet. Worker-submission answers configured for this location are included from the assignment snapshot, with column labels marked at worker submission.
Where a trade has tags, exported trade names include those tag names in brackets after the trade name.
When at least one exported timesheet has piece work, the workbook includes a Piece Work sheet with the piece-rate code, name, frequency, units, charge rate, charge value, pay rate, pay value, and timesheet context.
The Cost Codes sheet includes both hourly cost-code allocations and piece-work cost-code allocations. Piece-work rows identify the allocation type, piece-rate code and name, allocated units, charge value, and pay value.
Hirers and agencies can export past weeks and the current week. Timesheets with a week ending after the current week are excluded from Excel exports, including exports filtered by approval or cancelled date.
Exporting by approval or cancelled date
For Excel exports, hirers and agencies can choose Approval date under Filter by, then select a start and end date. Both dates are included, using UTC. This includes timesheets approved in that range regardless of their week ending, so a late approval for an older week can appear in the current export. Week ending remains the default filter. After manually changing a Timesheets table filter, use the Export filtered results primary button to export the current filtered selection without repeating it in the export dialog. Preset filters do not trigger this switch; clearing manual filters restores the usual action.
For hirers and agencies, Excel files from Export filtered results use a filename starting with timesheets_filtered. You do not need to select separate week-ending dates for this export.
For project-role hirers, filtered timesheet and expense exports use the selected hiring company and your permitted projects. A project filter narrows the results further; without one, the export includes your accessible projects in that company. Agency exports remain scoped to your agency and the selected filters.
Approval date uses the latest stored approval timestamp, not approval history. Timesheets without an approval timestamp are excluded. Other selections, including status and project, still apply. If a timesheet is unapproved and later reapproved, its new approval date is used and it may appear in a later export.
For regular reconciliation, cover consecutive approval date ranges without gaps. If you export before a day has finished, include that day again in the next export to capture later approvals and reconcile repeated timesheets by their reference.
Hirers and agencies can also choose Cancelled date for Excel exports to include cancelled timesheets whose recorded cancellation timestamp falls within the inclusive UTC date range, regardless of week ending. Timesheets without that timestamp are excluded. Select a status that includes cancelled timesheets; other filters and access restrictions still apply.
Excel approval and cancelled date ranges are limited to 366 days, including the start and end dates. This limit applies to the selected date range, not the age of the timesheets. PDF exports use week ending only.
Week-ending limits
Excel exports are limited to 52 selected week-ending dates. PDF exports are limited to 2 selected week-ending dates. The UI blocks selections beyond the limit and shows a validation message.
Access controls
Rate-restricted users cannot select PDF export. In Excel timesheet exports, rate-restricted users do not receive financial, rate, piece-work value, expense value, WRA value, or allocation value columns.
In Excel timesheet exports, hirers see upstream (MSP-to-client) invoice references, agencies see downstream (agency-to-MSP) invoice references, and exports from the MSP context include both. Standard agency-to-client invoice references remain available to hirers and agencies.
Billing-restricted users can export timesheets, but invoice fields are hidden from the export payload.
The dedicated Cost Code Allocations quick report is available to hiring-company users with timesheet export permission. Agency admins and agency users cannot access this report or its export endpoint.
Single PDF
On a timesheet detail page, Export Timesheet PDF downloads a PDF for that one timesheet when rate access is available.
Where a trade has tags, the PDF shows those tag names in brackets after the trade name.
The PDF includes a Piece Work section only when the timesheet has piece-work units or values.
Custom fields configured for display on timesheets appear in an Additional Information table on the PDF.
Expense export
The Expenses tab has its own export action when expense data is present. Use it for expense-focused reporting instead of the timesheet export. After manually changing an Expenses table filter, hirers and agencies see Export filtered results as the primary button. Preset filters do not trigger this switch; clearing manual filters restores the usual action.
Cost-code allocation export
Cost-code allocation exports use the dedicated cost-code allocation export endpoint and are intended for reporting allocated hours by project, site, worker, timesheet, and cost code.
The Timesheets sheet in the cost-code allocation export includes hourly allocation rows and piece-work allocation rows. Piece-work rows show the piece-rate code, piece-rate name, allocated units, and charge value when the exporting user has rate access.
When the exporting user is rate-restricted, financial columns are omitted from the Timesheets and Expenses sheets.
Long-running exports
For hirers and agencies, bulk timesheet PDF exports are queued and prepared in the background. Progress appears as the export is prepared, and the completed export is available as a ZIP download. You can cancel a PDF export while it is queued or being prepared. If an export is too large to finish, select fewer timesheets and try again.
For agencies: exporting your timesheets
If you work for an agency, you can export your own workers' timesheets for your own reporting and reconciliation, with the same access rules applied to the output.
Exports are scoped to your agency, so you only receive timesheets for your own workers.
The supplier selector defaults to your agency, while company and project selectors let you narrow the export to a single hiring company or project.
The Timesheets sheet identifies who requested approval, the user who approved the timesheet, and the selected timesheet approvers for each assignment in separate columns.
The dedicated Cost Code Allocations quick report is not available to agency users.
If your rate access is restricted, PDF export is not offered and financial, rate, piece-work, expense, WRA, and allocation value columns are removed from the Excel export.
If your billing access is restricted, you can still export hours but invoice fields are left out of the file.
Rate type labels
For both hirers and agencies, exported rate type labels use the supplier type set on the company connection. Umbrella suppliers show plain rate types such as CIS, PAYE or PSC, without an Agency or Umbrella prefix. Project rate settings do not override the company supplier type.
Reconnect during an export
Hirers and agencies can keep using the platform while an export runs. If the browser temporarily loses its connection, recent progress and completed download links are restored when it reconnects with a valid signed-in session. Failed, cancelled, expired, or replaced exports are not restored as running. Recent progress is retained for up to 24 hours. Check your notifications for export failures or completion notices. If your session has expired, sign in again.
