Exporting assignments

How assignment list exports and assignment PDF exports work

Written by Austin Brummer

Export the list

Use Export XLS from the Assignments page actions menu to export assignment data. The export uses the assignment export endpoint and is subject to the platform's export middleware.

Hirers and agencies with assignment export access can also save a named assignment report in Reports > My Reports. A saved report remembers its filters and can be adjusted before each export. The export dialog can run without a date range; when dates are selected, choose both the start and end date. When a table filter is active, the Assignments page offers Export filtered results for all matching assignments, including rows beyond the current page. After manually changing a table filter, this becomes the primary button. Preset filters such as user tags or teams do not trigger this switch; clearing manual filters restores the usual action.

Hirers and agencies can optionally select regions and sectors in the export dialog to restrict the export to matching projects. These filters apply together with the other export selections and your existing access. Changing the selected company or companies clears the region and sector selections.

Where a trade has tags, exported trade names include those tag names in brackets after the trade name.

For hirers and agencies, the assignments worksheet includes a region column immediately after sector, showing the region recorded on each assignment.

For hirers and agencies, the end reason shows Natural end for completed assignments without a recorded manual ending or end reason. Recorded end reasons are preserved; other assignments without an end reason show N/A.

For hirers and agencies, custom document columns use the assignment’s project sector when checking sector conditions. Applicable documents show the uploaded file link, or Not Configured when no file has been uploaded. Active requirements that do not match the assignment show Not Applicable.

Company custom fields configured for display on assignments are included as additional columns in the assignments worksheet. Worker-submission answers configured for this location are included from the assignment snapshot, with column labels marked at worker submission.

The accommodation column and filters use the company’s configured accommodation label, falling back to WRA Accommodation. The accommodation filter is available in the export dialog only to hirers when accommodation is enabled for the company or at least one project; agency users do not see it. Hirers can select WRA Accommodation to export all assignments, only those with accommodation enabled (Yes), or those where it is disabled or has not been set (No). Export filtered results also respects the WRA Accommodation table filter. Saved assignment reports remember this selection.

Filters and access

Exports should be run from the view and filters that match the data you need. Assignment visibility still depends on your role, company, project, agency, and MSP access.

Agency users can select more than one company when exporting assignments. When multiple companies are selected, the Projects and Trades filters are disabled for that export.

For agency users, assignment and worker exports show the company-specific worker identifier as company_worker_id and the agency's own worker identifier as agency_worker_id. Other roles continue to see worker_id without an agency_worker_id column.

When rate access is restricted, assignment rate and value columns, markup and employer-cost override value columns, and WRA breakdown rate/value columns are excluded from the export. Billing data may also be excluded or hidden when access control settings restrict billing.

For hirer users subject to Specific timesheet approvers, both list and PDF exports use the assignment visibility rules. A selected timesheet approver, the assignment approver, or a current hiring manager on the linked requisition can see matching assignments within their project access. Agency access remains subject to its existing scope.

Export a PDF

Use Export Assignment PDF from the assignment detail actions menu to generate a PDF for a single assignment. For both hirers and agencies, this action is unavailable when rate access is restricted.

Where a trade has tags, the PDF shows those tag names in brackets after the trade name.

Custom fields configured for display on assignments appear in an Additional Information table at the bottom of the PDF.

Rate type labels

For both hirers and agencies, exported rate type labels use the supplier type set on the company connection. Umbrella suppliers show plain rate types such as CIS, PAYE or PSC, without an Agency or Umbrella prefix. Project rate settings do not override the company supplier type.

Reconnect during an export

Hirers and agencies can keep using the platform while an export runs. If the browser temporarily loses its connection, recent progress and completed download links are restored when it reconnects with a valid signed-in session. Failed, cancelled, expired, or replaced exports are not restored as running. Recent progress is retained for up to 24 hours. Check your notifications for export failures or completion notices. If your session has expired, sign in again.
