Creating and Updating Projects

How project creation and core project amendments work, including required fields, single-site setup, finance inheritance, and downstream updates

Written by Austin Brummer

Before creating a project

Create a project only after the parent company, company regions, and company sectors are set up. The company must be active, and you need project creation permission for that company.

Start a new project

Open the Projects tab and choose New Project. System administrators can select the company. Company-role users create projects inside their current company context.

Required details

  • Project name

  • Company

  • Single Site or Multi Site

  • Jurisdiction

  • Project address, including postcode and bank holiday region

  • Company sector and company region

  • Project start date

Address and jurisdiction

The project address is required. The postcode is validated and formatted where supported, and coordinates are added when lookup succeeds. The address also stores the bank holiday region used by holiday and timesheet calculations. To view that region's dates or add a custom bank holiday, open the hiring company's Config page and select Public Holidays at the top right; company Regions & Sectors is a separate setting.

Single-site projects

When Single Site is selected during creation, the system creates one active site for the project using the project name, project address, company, phone details, and company shift pattern. Multi-site projects start with no sites.

Project dates

Project start date is required on the Overview tab. Project end date is optional. These dates define the planned project period when known and are stored on the project record for reporting and operational reference.

Finance inheritance

Projects can bill as the parent business and use the parent billing address. If parent finance is not inherited, project finance fields such as tax reference, VAT number, company number, deduction status, billing name, and billing address can be entered at project level. The tax reference remains optional when finance is entered at project level.

Contact emails

Support Email and Finance Email support multiple email addresses. These fields must use valid email formatting before the project can be saved.

Saving changes

Project edits are saved from the relevant editable tab. The Save button is not shown for Users, Cost Codes, Rates, Log, or Notes because those tabs use their own actions.

Active status

System, company, and MSP administrators can toggle a project between Active and Inactive on the Overview tab. Use inactive status when the project should remain in history but no longer be used for normal new work.

Downstream updates

Some project amendments update related records so lists and exports continue to show the current project details.

  • Name changes update project name values on timesheets, invoices, requisitions, and rates.

  • Project number changes update project code values on timesheets and requisitions.

  • Region and sector changes update related rates, assignments, and requisitions.

  • Single-site address changes update the single project site.

  • Project shift changes update sites that have not set their own shift override.

For agencies: who creates projects

Creating and updating projects is a hiring-company responsibility, so agencies do not set up or edit project records themselves.

  • New Project and the editable project tabs are hiring-company actions; agency users would not normally see them.

  • Agencies work within projects the hiring company has created and connected their agency to.

  • If project details such as the name, dates, region, sector, or finance setup are wrong, ask the hiring company to update them, since changes there flow through to your rates, assignments, and timesheets.
