Project import
Project import uses an Excel file and creates projects for a selected company. The import dialog can download a template before upload. Up to 100 projects can be imported at a time.
Download the import template
Use Download Template before preparing an import. The template is designed for the fields the importer can parse, including project identity, address, finance inheritance, billing details, company region, company sector, and contact fields.
Company selection
A company is required for import. When the current entity is a company, the import dialog pre-selects that company and disables changing it.
Required import data
Project name
Address line one, city, country, postcode, and bank holiday region
Existing company region
Existing company sector
Finance fields when the project does not bill as the parent business
Billing address fields when the project does not use the parent billing address
Optional import data
Project number
Project phone and country code
Support email
Finance email
Site support email
Site phone and country code
Project start and end dates
Import validation
The import validates countries, bank holiday regions, company regions, company sectors, postcodes, email fields, VAT numbers, deduction status, and required finance fields. If validation fails, the dialog shows row-level errors so the spreadsheet can be corrected and uploaded again.
What import creates
Imported projects are active, single-site projects by default. The import creates matching sites, copies the company shift pattern, stores address and finance data, and adds the projects to the selected company.
If validation fails
No projects are imported when row-level validation errors are returned. Review the error dialog, correct the spreadsheet, and upload it again.
Project export
Project export downloads an Excel workbook for the selected company scope. After manually changing a Projects table filter, hirers and agencies with project export access see Export filtered results as the primary button to export matching projects across pages. Preset filters do not trigger this switch; clearing manual filters restores the usual action. The workbook contains a project sheet and a cost_codes sheet for the exported projects.
Project export filenames use the shared export naming format: a lowercase export type, optional company scope, and the export date, for example projects-acme-ltd-23-05-2026.xlsx.
Export file contents
The project sheet includes project identity, company, status, contact, address, region, sector, finance, created date, and project date data. The cost_codes sheet includes cost codes linked to the exported projects.
Cost code export
Cost code export can be run for a selected project. The export returns the project cost code data for that project.
Permissions
Project export is protected by export middleware and project export permission checks. Project import requires access to the selected company.
For agencies: importing and exporting
Importing projects creates company records, so it is a hiring-company action; exporting is mainly for your own reference.
Agency users do not import projects, because import creates and configures projects for a hiring company.
Where your access allows it, you can export project data for a connected client company you choose before exporting.
Exports are scoped to the companies and projects your agency is connected to, so you only receive data for those projects.
