Activity and audit trail

What appears in the requisition activity log and how to use it for audit purposes

Written by Austin Brummer

What appears in the activity log

The activity log records key events that happen during the life of a requisition so users can understand what changed, who performed the action, and when it happened.

  • Activity is shown on the requisition detail page in the Activity tab.

  • It is separate from comments, which appear in the Comments tab.

  • Entries are appended to the requisition record and cannot be edited or removed.

What each entry shows

Every activity entry captures the same core information, plus optional context depending on the action:

  • Date and time the action was performed

  • The user who performed the action

  • An activity type identifying what happened

  • A pre-formatted message describing the change

  • A reason and free-text comments when the action captures them (for example rate, shift, or competency amendments)

  • A link to a related record when relevant, such as a replacement requisition created when an assignment is ended early

Key events recorded

Activity is recorded across the full requisition lifecycle. Events are grouped here by category:

  • Lifecycle — raised, sent to approvers, approved, rejected, cancelled, and reinstated

  • Amendments — quantity, dates, shift pattern, rates, cost code, trade rate overrides, and competency or requirement details

  • Agencies — sent to agency, agency removed, labour desk removed, reminders sent, agency responses received, amended, retracted, revoked, or rejected

  • Workers — workers assigned and recruitment stage changes for submitted workers

Using activity history for audit purposes

Use activity history to review the sequence of decisions and changes made to a requisition. It is useful for:

  • Checking approval decisions and who approved each stage

  • Tracing supplier communication, responses, and reminders

  • Reviewing worker assignment and recruitment stage progression

  • Confirming amendments, cancellations, and reinstatements

  • Including activity history in requisition exports for review across multiple requisitions

Tracing competency changes

Hirers and agencies with access to the requisition can review competency amendments on the Activity tab. New entries show the previous and new requirements, with Added and Removed details naming competencies introduced or removed. The first amendment compares against the inherited trade, sector and project requirements. Changes to requirement rules or alternative groups can be reviewed in the previous and new requirements. Earlier activity entries remain unchanged.

Tracing shift availability

Hirers and agencies can use response activity entries to review initial availability and subsequent changes, including previous and new dates and worker removals. Date and shift amendment entries identify retained availability that no longer matches the schedule. These details are recorded for changes made after this feature is introduced; earlier selections are not reconstructed.
