How tiered schedules work
When no tier rules have been saved, Tier 2 and Tier 3 are disabled and hirers can continue to requisition review. In company agency settings, their initial delays are 24 and 36 hours respectively; hirers must enable and save a tier rule to use its delay. Saved delays, including zero hours, are retained. Agencies receive requisitions according to the saved release settings.
Tiered agency schedules control when each selected agency receives a requisition. The behaviour is:
Tier 1 agencies are sent the requisition immediately.
Later-tier agencies are released after the delay configured for their tier.
Until release, a scheduled agency has Scheduled status and is not notified.
Once released (automatically or manually), the agency moves to Pending and receives the standard notifications.
Schedule trigger times are stored on the hour.
Amend a schedule
Use schedule amendment when the release time for a later tier needs to change.
Open the requisition, select the Agencies tab, then Amend Schedule above the agency table.
Select the tier you want to change.
Choose a new release date and hour within the available range, up to 14 days ahead.
Select Save. The system updates the trigger time for that tier; this schedule amendment does not add a requisition activity entry.
Schedule amendment rules
A few constraints apply when amending schedules:
The requisition must still be active — cancelled requisitions cannot have their schedule amended.
The scheduled tier you want to amend must still exist on the requisition.
The Amend Schedule button is shown to Company Admin, Project Admin, and Project Approver users when a Tier 2 or Tier 3 agency is still scheduled.
Send a scheduled agency immediately
In the Agencies tab, open the three-dot menu on a scheduled agency row and select Send Immediately. Confirm the prompt to release it before its planned time. The workflow then:
Changes the agency from Scheduled to Pending.
Cancels the previous schedule entry for that agency.
Sends the normal agency email and in-app notifications.
Records the action in the activity history.
Remove an agency from a requisition
Select Actions at the top right, then Remove Agency, to choose an eligible agency to remove. Scheduled agencies also have Remove Supplier in their row menu on the Agencies tab. Removing an agency with Remove Agency:
Takes the agency off the requisition.
Removes the agency's supplier responses from the requisition record.
Records the agencies removed and the user who removed them in the activity history.
Retract an agency response
Retraction pulls an agency back from a requisition without continuing its response. Retraction is blocked in the following cases:
It would leave the requisition with no agencies.
The agency has already accepted or rejected the requisition.
You do not have the required permission to retract on behalf of the agency.
