Shift-based coverage

How to read shift-based requisition coverage in the calendar, table, and day detail view

Written by Austin Brummer

When the Coverage tab appears

The Coverage tab is shown only for shift-based requisitions and is calculated for every date between the requisition start and end dates. A few things to know:

  • Working days are based on the requisition shift pattern.

  • Non-working days are shown as non-working and cannot be opened from the table.

  • Cancelled assignments are excluded from assigned worker counts.

  • For agency users, assigned and available worker detail is filtered to that agency.

Coverage statuses

Each working day shows its coverage status. Dates with zero required workers show Not required and are excluded from coverage totals:

  • Covered — workers are required and assigned workers equal or exceed the requirement for the day.

  • Partial — at least one worker is assigned, but assigned workers are below required.

  • Uncovered — workers are required but none are assigned to that working day.

  • Non-working days are not treated as uncovered.

Calendar view

Open the Coverage tab on a shift-based requisition and choose the calendar view. The calendar shows:

  • Each working day in the date range, coloured by coverage status.

  • An assigned worker count for each day.

  • An available-worker badge where relevant.

  • Month arrows to move between months that contain working days.

  • A legend showing how many days are covered, partial, and uncovered.

Table view

Choose the table view to review coverage in rows. Each row shows:

  • Date

  • Day and shift time

  • Assigned workers, shown as assigned-over-required

  • Available workers, so you can see whether submitted workers could still cover the day

  • Fulfilment status for the day

Day detail

Select a working day in the calendar or table to open the day coverage detail. It shows:

  • The day's status and assigned count.

  • The workers assigned to that day, with links to the assignment when an assignment reference is present.

  • Workers with submitted availability for that day and no uncancelled assignment on this requisition. The available count comes from submissions; check eligibility in the assignment dialog before assigning them.

  • For agency users, both lists are limited to that agency's workers.

Change the requirement for one day

If fewer workers were needed on a particular date, a hirer with quantity amendment permission can update that day without changing worker assignments. For example, reducing Tuesday from two workers to one changes coverage from 1/2 to 1/1.

  1. Open Coverage and select the date in the calendar or table.

  2. Select Change requirement for this day.

  3. Enter the number required and choose a quantity-change reason. Add comments if requested. Save or Preview impact stays disabled until the quantity changes, unless saving removes an existing date override to restore the default.

  4. Save, or review and confirm the approval impact if the requisition is awaiting routed approval.

  • You cannot reduce the requirement below the number of active workers assigned to that date. Zero is allowed when no workers are assigned.

  • The other dates keep their requirements. A zero requirement shows as Not required and is excluded from covered, partial and uncovered counts and the days-covered total. The date remains selectable so the hirer can restore its requirement.

  • The requisition becomes Filled when every working date meets its requirement. Increasing a requirement can reopen it.

  • The Value tab totals reflect date-specific requirements. Per-worker values still represent the full requisition period. Assignment values and timesheets are unchanged.

  • To restore the default, change that date back to the current requisition quantity. Later changes to the default preserve any remaining explicit date requirements.

  • Agencies can review the updated coverage and activity history, but cannot change the requirement.

  • Agencies can submit different teams for different dates in one response, even when the total number of workers exceeds the largest daily requirement. Hirers review and assign workers against each date's requirement.

  • When the hirer uses auto-assignment, new workers in an agency response are assigned to their submitted available dates. Each date must have enough remaining capacity, including when the agency amends its response. An increased daily requirement can allow more workers than the default quantity.
