Cancelling and reinstating a requisition

When to cancel a requisition, what cancellation prevents, and how reinstatement works

Written by Austin Brummer

When to cancel

Cancel a requisition when it should no longer progress through its lifecycle. Common reasons include:

  • The requirement is no longer needed

  • The requisition was raised in error

  • It should no longer go through approval, agency notification, submission, or assignment

Who can cancel

Open Actions at the top right of the requisition detail page and select Cancel requisition. The label follows your company's preferred name for requisitions. The action appears only when:

  • Your role has the cancel or reinstate requisition permission and you have access to the requisition; Project Requestors can see the action when it is enabled for their role

  • If you are a Project Requestor, you raised the requisition and it has not yet been approved

  • The requisition is active, is neither rejected nor filled, and has no counted assigned workers

What cancellation prevents

A cancelled requisition is no longer active and many actions are blocked until it is reinstated:

  • Approval and progression through approval stages

  • Quantity changes

  • Sending to or removing agencies

  • Other lifecycle changes that would continue the requisition

Impact on existing assignments

Cancellation marks the requisition inactive but does not remove its record, history, or existing assignment data. Before cancelling:

  • Review any existing worker submissions or assignments

  • Confirm the operational impact with the relevant teams

  • The cancel action is unavailable when workers are already assigned; it does not wait for their starts to be confirmed

  • When the last active assignment on a filled requisition is cancelled with consent not to reopen, the requisition is also cancelled automatically and an activity entry links it to that assignment

  • If other pending or confirmed assignments remain and reopening is declined, the requisition stays Filled and no replacement recruitment is opened

  • If reopening is agreed and coverage falls below the requirement, the latest reopened date appears in the overview alongside the original raised date

Reinstating a cancelled requisition

If permitted, open Actions at the top right and select Reinstate requisition. Complete the reason and comments if requested, then confirm. Reinstatement:

  • Makes the requisition active again

  • Resets the filled flag so coverage is recalculated

  • Records a reinstatement event in the activity log

After reinstatement

Review the requisition before progressing it again. Items worth checking include:

  • Start and end dates

  • Agency schedules and tiering

  • Pay and charge rates

  • Shift-based coverage by working day

  • Existing assignment status

Who is notified

Cancellation and reinstatement send in-app notifications to the stored requestor and approvers:

  • The requestor

  • The current approver

  • Any stored stage approvers

For agencies: how cancellation affects you

If you work for an agency, cancellation stops the requirement you were working against. Cancellation and reinstatement notifications go to the hiring-company requestor and approvers rather than to agencies, so keep these points in mind:

  • A cancelled requisition becomes inactive, so you can no longer accept it or submit further workers against it.

  • Check the requisition status before spending time sourcing workers — a requirement may have been cancelled.

  • Use comments on the requisition to confirm the position with the hiring team if you are unsure.

  • If another active assignment remains and the hirer declines reopening, the requisition stays Filled; the remaining assignments continue

  • When a filled requisition is reopened for replacement recruitment, hirers and agencies can see its latest reopened date in the overview
