Cancelling, ending, and reinstating assignments

How assignment cancellation, end assignment, and reinstatement work, including requisition and amendment effects

Written by Austin Brummer

Cancel an assignment

Cancel Assignment is available when the assignment is eligible, there are no timesheets, and your role has assignment cancellation permission. The hiring company can configure cancellation reasons in Lists under Assignment cancelled. This list is enabled by default with the existing cancellation reasons. When enabled, hirers and agency users must select a reason; the selected option controls whether comments are shown or required. Disabling the list removes the reason and comments fields.

  • The assignment status changes to Cancelled.

  • The source requisition's assigned worker record is marked cancelled when there is a source requisition.

  • If the requisition was filled, the workflow may ask whether the requisition should be reopened.

  • Pending assignment amendment requests are cancelled.

End an assignment

End Assignment is available for confirmed assignments once the assignment start date has arrived. The hiring company controls who can end assignments through the End Assignment agency action: Agency only, Company only, or Agency or Company (the default). Existing role and agency access restrictions still apply. Agencies cannot end assignments when Company only is selected, and hiring-company users cannot end them when Agency only is selected. Ending records the end date, reason, and comments, trims later days from the final open timesheet, and recalculates any applicable WRA accommodation for the remaining payable days. Hiring teams and agencies see the recalculated lodge value on the timesheet. For stay-based Lodge-to-project journeys, a worked assignment end date establishes the return without waiting for a later non-working day, subject to the shared weekly cap. For Pay regardless of days worked, a partial final active week can still receive two allocations without proration, subject to that cap, after the company week ends. Weeks entirely after the end date do not qualify. Hirers and agencies should review the final travel expenses; already-billed travel remains unchanged. See WRA Travel and Fare Allowance on Timesheets for the full rules.

Reinstate a cancelled assignment

Reinstate Assignment is available on cancelled assignments for permitted users. The system blocks reinstatement if the worker already has another active assignment on the same requisition.

  • The cancellation is cleared.

  • The assignment returns to Pending.

  • The requisition assigned worker record is restored when a source requisition exists.

  • The reinstatement reason and comments are recorded in activity.

Change back to pending

Change to Pending can appear for confirmed assignments when there are no timesheets and the user can confirm assignments. Use it when the worker start was confirmed but needs to be reset before timesheet activity begins.

For agencies: ending and cancelling your workers' assignments

If you work for an agency, you can end an assignment for one of your own workers, for example when a worker leaves early. Cancellation and reinstatement depend on the permissions the hiring company has granted you.

  • Ending a confirmed assignment is available to agency admins and users once the start date has arrived; you provide an end date, reason, and any comments.

  • Cancellation requires assignment cancellation permission and is only possible when no timesheets exist yet. Agency users use the hiring company’s Assignment cancelled list and its comment requirements.

  • When you end or cancel a worker, the change is reflected back on the source requisition and recorded in the activity history the hiring team can see.

  • If a worker needs replacing rather than simply ending, consider raising a replacement request so the requirement can be re-filled.
