Activity history
When a hirer or agency user deletes an assignment comment, the Activity tab records who deleted it, when it was deleted, and the comment text as it stood at deletion. Activity shows the comment as plain text, retaining paragraph and line breaks. The comment is removed from the Comments tab. Historical deletions added to activity show the recorded deletion time and retained text, with the deleting user marked as unknown where this was not recorded.
The Activity tab is the assignment audit trail. It records lifecycle events, confirmations, cancellations, reinstatements, date changes, rate changes, shift changes, trade changes, worker timesheet access changes, document changes, amendment approvals, replacement actions, and related timesheet updates where applicable.
Comments
When someone likes your comment, the notification email subject includes the assignment reference, for example: Sophie Kirk liked your comment on assignment (GAN-A123). This applies to hiring-company and agency recipients.
The Comments tab shows the assignment conversation and current comment count. Users can add comments, edit or delete their own comments where allowed, react to comments, mention users, and attach files where the comments component supports attachments. Type @ or select Mention to open the mention dialog, search by name, job title, or email, and choose one or more people. Available people are grouped with Company users first and Agency users second. Agency users appear only when they can access the assignment's connected client.
Personal distribution lists
Hiring-company and agency users can manage private distribution lists from My lists in the mention dialog. Each list shows its total, available, and unavailable member counts. If availability is partial, review the available members before continuing. Unavailable members are not mentioned on that assignment but remain saved in the list for other comments.
Share assignment
Share Assignment opens the sharing workflow for assignment details. Use it when another user or recipient needs the assignment information outside the current page.
Notify worker
Notify Worker appears when the effective worker timesheet access settings for the assignment allow workers to view timesheets. The notification workflow can send worker notifications by the available methods. For hirers and agencies notifying workers, assignment SMS messages include the assignment reference, project and start/end dates. If pre-induction is required, the SMS prioritises that link and asks the worker to complete it before attending. Otherwise, it includes the timesheet link when portal access is enabled. The email retains the timesheet link when portal access and email notifications are enabled.
Worker timesheet access
Worker Timesheet Access is available from the assignment actions menu for admin users. The dialog starts from the project worker timesheet settings when project overrides exist, otherwise it starts from company settings.
Saving the dialog stores an assignment-level override for worker portal access, timesheet amendments, expense submission, cost-code allocation, and worker timesheet notifications. The override affects the worker timesheet portal and worker notifications for that assignment.
PDF export
Export Assignment PDF creates a PDF version of the assignment from the detail page.
For agencies: staying in sync
Comments, activity, and sharing are the main ways the hiring company and the agency keep aligned on a placement. If you work for an agency, use them on your own workers' assignments to stay informed and to coordinate.
Add comments to raise queries with the hiring team and mention specific people so they are notified.
Use the Activity tab to see confirmations, date or rate changes, document updates, and other events recorded by the hiring company.
Sharing sends assignment details to any email address you enter, so you can pass information to a colleague or contact outside the platform.
Worker timesheet access and worker notifications are controlled by the hiring company's settings, so check with them if a worker needs portal access.
