Comments, Activity, and Mentions on Timesheets

How timesheet comments, mentions, reactions, attachments, and the activity audit trail work, including who is notified

Written by Austin Brummer

Where to find them

Every timesheet has an Activity tab and a Comments tab on the timesheet detail page. The Comments tab label shows the current comment count. Activity is hidden when no activity records exist.

Add a comment

Open the Comments tab, type a message, and submit. The same dialog accepts mentions and a single optional attachment. When choosing mentions, search the available people as needed. Available people are grouped with Company users first and Agency users second. Comments support multi-line text and links.

Mention users

Use @ or select Mention to open a larger dialog where you can search by name, job title, or email and select one or more users. The dialog is populated from the verified, active users involved in the timesheet's company and supplier. Agency users appear only when they can access the timesheet's connected client. Mentioned users receive an email and in-app notification when the comment is posted or when they are added to an existing comment through an edit.

Use personal distribution lists

Hiring-company and agency users can open My lists in the mention dialog to create, use, edit, or delete private distribution lists. Each list shows its total, available, and unavailable member counts. If availability is partial, review the available members before continuing. Unavailable members are not mentioned on that timesheet but remain saved in the list for other comments.

Edit, delete, and react

  • You can edit your own comments. Editing can add new mentions, which trigger fresh notifications for the newly mentioned users only.

  • You can delete your own comments. Deletion is a soft delete so prior conversation context is preserved.

  • Any user with access can react to a comment. Reactions toggle on and off and notify the comment author. For hiring-company and agency recipients, comment-like email subjects include the timesheet reference, for example: Sophie Kirk liked your comment on timesheet (GAN-T43).

Attachments

A comment can include a single attachment uploaded through the shared comments component. Replacing or removing the attachment is done through the comment edit flow.

Activity audit trail

When a hirer or agency user deletes a timesheet comment, the Activity tab records who deleted it, when it was deleted, and the comment text as it stood at deletion. Activity shows the comment as plain text, retaining paragraph and line breaks. The comment is removed from the Comments tab. Historical deletions added to activity show the recorded deletion time and retained text, with the deleting user marked as unknown where this was not recorded.

The Activity tab records system and user events on the timesheet. Typical entries include creation, amendment, approval request, approval, rejection, recall, unapproval, mark absent, reinstatement, deletion, and links to the first invoice, AfP, MSP invoice, or related expense changes. Each entry shows the actor, timestamp, and a human-readable message.

Who can see comments and activity

Access follows the same visibility rules as the timesheet itself. Users without a relationship to the company, project, agency, or MSP do not see the timesheet, its comments, or its activity. When specific timesheet approvers are configured on the assignment, non-exempt users must be listed as a timesheet or requisition approver on the assignment, or as a hiring manager on the current originating requisition, to view the timesheet and its discussion. Hiring managers still need the required project access.
