Comments, mentions, and broadcasts

How requisition comments work, including mentions, attachments, broadcasts to agencies, and notifications

Written by Austin Brummer

Add comments

Open the Comments tab on the requisition detail page to add a comment. Type your message in the comment box and select Send.

  • Comments may be visible to agencies that have received the requisition.

  • Avoid including sensitive information that should not be shared with agencies.

  • The comment input shows a visibility warning to remind you of this.

Edit, delete, and react

When a hirer or agency user deletes a requisition comment, the Activity tab records who deleted it, when it was deleted, and the comment text as it stood at deletion. Activity shows the comment as plain text, retaining paragraph and line breaks. The comment is removed from the Comments tab. Historical deletions added to activity show the recorded deletion time and retained text, with the deleting user marked as unknown where this was not recorded.

After a comment is posted, you have a few more options:

  • Edit your own comments to update the text, mentions, or attachment. Edited comments keep their place in the conversation and show an updated timestamp.

  • Delete your own comments. Deleted comments are hidden from the comment list.

  • Like another user's comment. The comment author can receive a reaction notification. For hiring-company and agency recipients, the email subject identifies the requisition by its label and reference.

Mention users

Type @ in the comment box, or select Mention, to open the mention dialog. You can search by name, job title, or email and select one or more involved users. The list groups Company users first and Agency users second. The available people come from users connected to the requisition:

  • Requestor and approvers

  • Other involved company users

  • Once the requisition is approved, users from agencies that have received it

  • Agency users only where their connected-client access includes the requisition company

  • When specific timesheet approvers are enabled, the company-side list narrows to timesheet approvers, selected requisition approvers, and exempt company users

Use personal distribution lists

Open My lists in the mention dialog to create, use, edit, or delete a distribution list. Lists are private to your account and can be used by both hiring-company and agency users. Each list shows its total, available, and unavailable member counts. If some members are unavailable on the current requisition, review the available members before continuing; unavailable members are not mentioned but remain saved for contexts where they are eligible.

Out-of-office warning

If a mentioned user is marked out of office, the system shows a warning before the comment is sent so you can decide whether to send it now or mention someone else.

Attachments

You can attach a file to a comment to share supporting context. Attachment rules:

  • Use the attachment icon, or drag and drop a file into the comment input.

  • Both hiring-company and agency users can select a PDF attachment to read it in the popup. Use the zoom slider to enlarge the text and scroll within the preview to read the full document.

  • A comment can include one attachment.

  • Pasting images directly into the editor is blocked — use the attachment control instead.

  • When editing a comment, you can replace or remove the attachment.

Broadcast comments to agencies

Use the Broadcast toggle when agency users should be actively notified about a new comment.

  • Broadcasting applies only to new comments — it does not apply when editing, deleting, or reacting.

  • Agency broadcast notifications are only sent once the requisition is approved.

  • Scheduled agencies are excluded until they have received the requisition.

Who gets notified

New comment notifications can go to:

  • The requestor and project support email

  • Approvers and previous commenters

  • Mentioned users

  • Agency users included by broadcast (where applicable)

What you will not be notified about

A couple of cases never trigger a notification:

  • The system does not send the comment notification email back to the user who created the comment.

  • Editing or deleting a comment does not re-notify the recipient list.
