Replacements and cloning assignments

How to clone assignments and request temporary or permanent replacements

Written by Austin Brummer

Clone an assignment

Clone Assignment creates a new assignment using an existing assignment as the source. The clone workflow asks for the project, site, trade, rate option, rates, source assignment, and new start and end dates.

  • Clone availability depends on assignment clone permission. For both hirers and agencies, hidden rates do not prevent using an eligible original-assignment or destination rate option; the pay amounts remain hidden.

  • Hirers and agency users with clone permission can select a user tag in the clone dialog when tags are available to them. The original tag is preselected if it is available; otherwise, a sole available tag is selected automatically, or you must choose from the available tags. If no tag selector is shown, the original assignment tag is retained.

  • When cloning to a different project, choose the new-project rate option to use the applicable rates for that project, including when both projects are in the same region.

  • The cloned assignment records its original source.

  • For standard requisitions, a pending or confirmed clone linked to the original requisition keeps the worker counted as assigned. Cancelling the source assignment does not remove that worker from the assigned count while another pending or confirmed assignment for the same worker and agency remains linked to the requisition. Choosing not to reopen the requisition when cancelling still closes it.

  • Clone activity is recorded on the source and new assignment.

Request a replacement

Request Replacement is used when an existing assignment needs a temporary or permanent replacement. The action appears only for eligible confirmed, completed, or ended assignments, after the assignment start date has arrived, and when there is no existing replacement record.

  • Choose the suppliers that should receive the replacement requisition.

  • Choose Temporary or Permanent.

  • Enter the cover start date, cover end date, and the new requisition end date.

  • Provide a reason and optional comments. Permanent and temporary replacements use separate company-configured reason lists.

Temporary replacements

A temporary replacement keeps the original assignment in place but creates a new requisition for the cover dates. The platform protects existing timesheets and adjusts the cover period:

  • If any overlapping timesheet is already Approved or Pending Approval, the request is rejected.

  • Pending timesheets that fall entirely inside the cover dates are marked absent for the cover reason.

  • Pending timesheets that overlap the cover dates have only the cover days zeroed out and the rest left untouched.

  • Any WRA accommodation lines are adjusted on those timesheets where applicable.

Permanent replacements

A permanent replacement ends the original assignment on the requested end date, records the replacement reason and comments, recalculates any applicable WRA accommodation on the final open timesheet, and creates a new requisition for the cover going forward.

When the original assignment is ended retrospectively, the replacement can start on the current date or any later date after the original assignment ended. The replacement end date defaults to the original assignment end date when that date is still valid.

An approved or invoiced timesheet for the same week can remain unchanged when it contains no worked time, piece work, later expenses, or multi-day allowances affected by the requested end date. If it contains affected work or costs, recall the timesheet before requesting the replacement.

The replacement requisition

Submitting a replacement request creates a new requisition with the original requisition's project, site, trade, rates, shift pattern, requestor, approver, timesheet approvers, and multi-stage approval setup. Hiring managers are copied only when they are still active company admins or project users and still have permission to assign workers to requisitions for the project. The requisition is sent to the selected suppliers so they can submit cover workers.

Replacement links

The Overview tab shows replacement relationships. It can link to the replacement requisition, the assignment that replaced the original assignment, or the original assignment that this record replaces. The replacement type (Temporary or Permanent) is shown beside the linked replacement requisition.

For agencies: replacements and cover

Replacements are how cover is arranged when one of your placed workers cannot continue. You can be involved on either side of a replacement, depending on the permissions the hiring company has granted.

  • If you hold replacement permission, you can request a replacement for your own confirmed, completed, or ended worker and select which agencies should receive the cover requisition.

  • The replacement creates a new requisition that is sent to the selected agencies, so you may instead receive a cover requirement to respond to and submit a worker against.

  • A temporary replacement leaves the original placement in place and protects already approved or pending timesheets; a permanent replacement ends the original placement on the chosen date.

  • Cloning is typically a hiring-company action for setting up similar direct assignments and is governed by clone permission.

  • If the hiring company cancels a source assignment but keeps a pending or confirmed clone linked to the same standard requisition, your worker remains counted as assigned on that requisition.
