Understanding assignment statuses

What each assignment status means and which actions are normally available

Written by Austin Brummer

Typical transitions

An assignment usually moves through these transitions:

  1. Pending → Confirmed when the worker start is confirmed.

  2. Confirmed → Completed when the assignment reaches its planned end date.

  3. Confirmed → Ended when the assignment is ended early through the End Assignment action.

  4. Pending or Confirmed → Cancelled when the assignment is cancelled (only allowed when no timesheets exist).

  5. Cancelled → Pending when a permitted user reinstates the assignment.

  6. Confirmed → Pending when a permitted user changes a confirmed assignment back to Pending and no timesheets exist.

Pending

Pending means the worker has been assigned but has not yet had their start confirmed. Users with confirmation permission can confirm the start date when required documents and competency checks pass.

  • Pending assignments may be amended or cancelled when permissions and constraints allow.

  • Required worker documents and competency requirements are checked before confirmation.

  • If no timesheets exist, a confirmed assignment can be changed back to Pending by permitted users.

Confirmed

Confirmed means the worker's start has been accepted. The assignment can then be used for timesheets, expenses, rate reconciliation, and other in-life processes.

  • Confirmed assignments can be ended once the start date has arrived.

  • Some date changes may update future timesheets.

  • Replacement requests can be raised for confirmed assignments when allowed.

Completed or ended

Completed and ended assignments are no longer in the normal active workflow. They can still be reviewed, exported, shared, and, where allowed, used as the source for replacement or date-change workflows.

Cancelled

Cancelled assignments are removed from the normal active workflow. Users with the required permission can reinstate a cancelled assignment, but reinstatement is blocked if the worker already has another active assignment on the same requisition.

Impact on the source requisition

When an assignment was created from a requisition, status changes propagate back to the requisition's assigned-worker record. Cancellation marks that record cancelled and can ask whether the requisition should be reopened; reinstatement restores it; confirmation updates it to reflect the confirmed start.

For agencies: what the statuses mean for you

If you work for an agency, you see assignments for your own workers at companies you have access to. The status tells you where your worker is in their placement:

  • Pending — your worker has been assigned but their start is not yet confirmed, so timesheets cannot run yet.

  • Confirmed — the start is confirmed and the placement is live, so timesheets, expenses, and other in-life processes can begin.

  • Completed or ended — the placement has finished; you can still review the record and, where allowed, use it to request a replacement.

  • Cancelled — the placement was stopped before it ran; only permitted users can reinstate it.
