Rates on Trades

How the trade Rates tab shows and updates time rates, project rates, and piece rates

Written by Austin Brummer

Open the Rates tab

The Rates tab appears on existing trades when rates access control does not hide rates for the user. It loads rate rows for the selected trade and company.

How rows are grouped

Rate rows are grouped by company region and company sector. This reflects the company rate-card structure used elsewhere in the platform.

Time rates

The Time view shows company region, company sector, pay, markup, and charge values. The PAYE employer-cost column remains visible alongside comparable pay rate. CIS and PSC employer-cost columns are shown when the effective configuration includes that rate type or the displayed rates contain saved costs, including project and agency overrides. Columns use the hiring company’s preferred label for that rate type. Use the rate type and pay type toggles to switch the displayed values. In rate creation dialogs, piece-rate creation and editing, and time and piece-rate import previews, the employer-cost field or column is shown only when the hiring company has cost components configured for the selected rate type. Rate Detail uses the effective company or project costs and keeps saved cost amounts visible. These rules apply to hirer and agency rate views. If sector labels cannot be loaded while editing company costs, existing restrictions remain selected as unavailable sectors. Changing a cost value preserves those restrictions; clear the selection only when the cost should apply to all sectors. Company and project cost saves reject negative or non-numeric component values. Percentage costs must be between 0% and 100%; fixed costs can exceed £100. Cost components are rounded to four decimal places before dependent components are calculated; displayed charge rates are rounded to two decimal places. Saving company cost configuration recalculates hourly and daily entries with positive pay; unused entries with blank or zero pay remain unchanged. When a hiring company imports agency rates for multiple projects, each project uses its own effective agency markup adjustment, including trade-specific adjustments, for hourly, daily and piece rates. Changing the project selection order does not change the resulting rates for that agency. If a project piece-rate import creates a missing company-wide parent card, that parent uses company costs and markup; the project card retains its project pricing.

A saved project time rate of £0 is an explicit override and is shown as a project override in company and project rate cards for hirers and agencies. Company rates are inherited only when the project rate for that pay type and hourly or daily basis is absent. An explicitly selected POA time rate is available when raising a requisition and means the rate is still to be agreed. An ordinary zero rate means No rate, displays as -, and remains unavailable for new requisitions, including in project and agency overrides. A blank time rate is unavailable unless an applicable parent rate is inherited; active piece-work rates remain available independently.

Pay type and rate type toggles

The pay type toggle changes the displayed CIS, PAYE, or PSC values in the Time view. The rate type toggle changes the selected rate type used by the table and editing dialog.

Project rates

When project rates exist, the rate row can expand to show project-specific values under the matching company region and sector. Selecting a project rate opens the same rate editing flow as selecting the base row.

Company rates vs project rates

Hirers can create, save and import hourly or daily rates with pay set to 0. Choose No rate, Rate or POA using the radio options when setting time rates. Each option explains its behaviour; value fields appear only for Rate. No rate is available only when configuring rate cards; it is not offered when amending requisition or assignment rates. No rate saves zero, displays as -, and blocks new requisitions. Rate requires positive pay. POA (Priced on Application) saves an explicit marker with zero amounts, allows requisitions and pending assignments, and blocks assignment confirmation until agreed positive rates are saved. Only explicitly marked POA pay and charge display as POA in the UI and rate exports; ordinary zero and absent time rates display as -. Positive rates display as currency. For POA time rates, employer costs, markup and estimated monetary values display as -. Comparable pay retains normal currency formatting. In hirer and agency rate tables, POA employer costs and markup display as -; priced rates retain currency zeros where configured, and unavailable and restricted values remain -. Templates accept POA for an explicitly available rate to be agreed, a positive amount for Rate, and 0 or - for No rate. Blank cells omit that rate type from the import. Exports preserve POA as text and No rate as - so re-importing keeps the distinction. Hirers can remove trade rows they do not want to import. Blank pay cells and omitted trade rows keep existing saved rates unchanged, and inherited rates can still apply. To make an existing time rate unavailable, choose No rate in the rate editor and save. The import dialog and template Instructions sheet explain these rules; agencies see the resulting applicable rates. Saving ordinary zero pay keeps that rate type unavailable in the requisition picker. Selecting POA makes it available as a rate to be agreed. These rules apply to company, project, agency and tier overrides; an explicit zero override does not fall back to a priced parent. Choosing No rate or POA resets pay, employer costs, markup, charge and comparable pay to zero. No rate and POA entries do not accrue time-based employer costs or markup, including when imported rows contain costs or charge values. Import previews show explicitly marked POA pay and charge as POA and ordinary zero as -, with employer costs and markup displayed as -. Restricted financial values remain hidden for hirers and agencies, including employer costs and markup. Hirers and agencies can create pending assignments with these rates, but must agree positive pay and charge before confirming time-based work. Agencies see the resulting applicable project rates. A zero-pay company rate can provide the parent card required before importing project time rates for the same trade, region and sector.

The main row represents the company-level rate for the region and sector. Expanded rows show company-agency, company-tier, and project-specific values where a more specific rate overrides or supplements the company-level rate setup.

Piece rates

When piece rates exist, the table shows a Time and Piece toggle. The Piece view lists piece-rate name, code, unit, frequency, active status, pay, markup, charge, and employer costs for PAYE, or for CIS and PSC when the effective configuration or saved rate values include those costs. When a hiring company edits an existing project piece rate, pay changes use that project’s cost and markup overrides, including explicitly cleared overrides. Company settings apply where the project inherits them. Agencies see the resulting charges on the applicable project rates. Editing an agency-specific piece rate also uses the agency relationship for that company or project, with a trade-specific markup adjustment taking precedence over the agency default. Save is unavailable if that relationship cannot be loaded.

Piece rate status

Piece rates can be active or inactive independently of the trade itself. Inactive piece rates remain visible for review but should not be selected for new piece-work entry.

Editing rates

Hirer users with rate editing permission can open rate dialogs from clickable rate rows. Choose No rate, Rate or POA, then Save for the selected CIS, PAYE or PSC hourly or daily rate. Value fields appear only when Rate is selected. No rate saves an explicit zero and does not inherit a priced parent. Other rate types and piece rates are retained. Existing requisitions and assignments keep their saved rates. Agencies see the resulting applicable rates and should ask the hirer to change unavailable rate cards.

Editing piece rates

Selecting a piece-rate row opens the piece-rate edit dialog. Piece rates can be updated from the trade Rates tab, and deletion is requested from the same flow when deletion is allowed by rate usage rules.

When rates are not shown

  • Rates access control can hide the Rates tab.

  • The tab can be visible but empty when no rates exist for the trade.

  • The Piece view appears only when the loaded rate data includes piece rates.

Checks before using a trade

  • Confirm the trade has rates for the relevant region and sector.

  • Confirm the correct pay type has a configured pay value, including an explicit POA selection for a rate to be agreed. Ordinary zero or absent rates remain unavailable. Positive pay and charge are required before confirming time-based assignments.

  • Check project-specific rows if the work will be raised against a project with project rates.

  • Check piece rates separately when the trade will be used for piece-work timesheets.

For agencies: trade rates and your billing

Rates on a trade decide what your workers are paid and what you can charge, so this is one of the most relevant trade areas for an agency.

  • The pay, employer cost, markup, and charge values are set by the hiring company; agency users view rates rather than editing them here.

  • Your charge reflects the agency adjustment configured for the trade, or your agency's default adjustment when the trade has no override. Project rows can override the company rate when a project has its own rates.

  • Piece-rate charge values use the applicable agency trade adjustment unless an assignment-level markup override applies.

  • If rate access is restricted for your agency, the Rates tab is hidden.

  • If a rate or markup looks wrong, raise it with the hiring company since trade and project rate cards are configured by them.
